As the Scheduling Manager, you will be at the helm of coordinating and optimizing the
operations of a highly skilled team of 25 technicians, shaping the efficiency and success of our
business. You will play an instrumental role in driving operational excellence, delivering
exceptional client experiences, and maximizing workforce potential. Your leadership will directly
influence the seamless integration of service delivery across our comprehensive, integrated
model of service, including daily service, emergency response, preventative maintenance,
special projects, and construction work, ensuring every step reflects our commitment to quality
and client satisfaction

KEY RESPONSIBILITIES

1. Client Relationship Management:
• Serve as the primary point of contact for client service inquiries (via phone

and email), providing prompt, professional, and solutions-focused
responses.

Build trust and strong client relationships by ensuring a seamless service

experience.

2. Scheduling + Resource Allocation:
• Plan, manage, and distribute the Workforce Schedule to maximize efficiency

and ensure alignment with company goals.

In collaboration with the Planning Team, strategically assign the most

qualified technicians to each service request, preventative maintenance
task, special project, or construction project.

Verify that all materials, tools, and equipment are scheduled and aligned

with project requirements, including special vendor requests, to support
service, preventative maintenance, special projects, and construction work

Collaborate with clients to coordinate critical requirements such as building

shutdowns, special access, or service adjustments.

Schedule technician vacations, personal commitments, and customized

schedules while ensuring adequate workforce coverage.

Coordinate technical training sessions and ensure alignment with workforce

availability and skill development needs.

3. Service Management
• Review technician work orders, project plans, and deficiency reports to

identify and action service opportunities.

Verify technician hours, and field expenses, ensuring all work is

documented accurately and aligns with project expectations.

Partner with the Planning Team to prepare and deliver accurate quotations

and proposals.

Provide professional client updates, including service history reviews and

outlining recommendations and next steps.

4. Preventive Maintenance, Special Projects + Construction Work
• Coordinate with the Preventive Maintenance Manager to ensure all

scheduled maintenance is completed and meets contractual obligations.

Align with Project Coordinators to streamline schedules and ensure the

successful execution of special projects and construction work.

5. Proactive Operations Oversight
• Anticipate workforce needs and adjust schedules to mitigate potential

delays or conflicts.

Collaborate with the Warehouse Manager to review weekly fleet reports and

support fleet management, including scheduling service and repairs. Ensure
all fleet operations comply with company policies and maintain safety
standards.

Continuously monitor and improve operational efficiency to uphold high

standards of service delivery.

Be familiar with the Collective Agreement to ensure alignment with

workforce scheduling, compliance with terms, and adherence to operational
policies.

Collaborate with the Finance Team to verify mobile, gas, 407ETR, and

reimbursement expenses, ensuring accuracy in reporting and adherence to
company policies.

Utilize GPS technology to verify technician timekeeping and improve

scheduling efficiency.

6. Workplace Health + Safety Leadership
• Champion the organization’s commitment to workplace health and safety,

fostering a culture of accountability and continuous improvement.

Actively participate in the implementation and monitoring of health and

safety policies and programs.

Ensure technicians adhere to safety protocols, including hazard

assessments, compliance with PPE requirements, and the safe execution of
work.

Collaborate with the Health and Safety Committee to address concerns,

identify training opportunities, and support monthly safety talks.

THE IDEAL TEAM MEMBER

3-5 years of experience in scheduling, workforce management, or operations within the

mechanical, construction, or service sectors.

Proven leadership and interpersonal skills, with experience managing diverse teams in

the mechanical or construction industries.

Strong organizational, problem-solving, and decision-making abilities.

Proficiency in Microsoft Office Suite and scheduling software tools.

A proactive communicator with strong client service skills.

In-depth familiarity with HVAC, plumbing, or mechanical trades is highly preferred
