About the Role
About the Role
Sister Sophie Ltd. is seeking a detail-oriented and organized Academic Consultant (English/Mandarin) to support daily course operations, scheduling, student communication, and administrative coordination.
This role works closely with students, parents, teachers, and the internal team to ensure classes are scheduled smoothly, communication is timely, and student needs are followed up professionally. The ideal candidate is comfortable managing multiple tasks, communicating in both English and Mandarin, and supporting a fast-paced education environment.
This position is well suited for someone who enjoys coordination, communication, problem-solving, and helping students and families receive a positive learning experience.
Key Responsibilities
Course Scheduling & Coordination
- Arrange class schedules for students and teachers based on availability, course needs, and program requirements
- Coordinate rescheduling requests and class changes in a timely and organized manner
- Communicate schedule updates clearly with parents, students, teachers, and internal team members
- Track class arrangements and ensure records are updated accurately
- Support smooth communication between teachers, students, and families when academic or scheduling concerns arise
Client & Teacher Communication
- Respond to parent, student, and teacher inquiries through WeChat, phone, and email
- Assist with day-to-day communication related to classes, schedules, attendance, and student progress
- Help de-escalate concerns or complaints professionally and escalate matters to the appropriate team member when needed
- Greet parents and students when they arrive at the school and direct students to the appropriate classroom or teacher
Administrative Support
- Answer, screen, and forward incoming phone calls, emails, and social media messages
- Maintain accurate records related to students, classes, schedules, and communication follow-ups
- Support internal reporting, documentation, and administrative tasks as needed
- Assist with general office coordination and daily school operations
Student Engagement & Course Support
- Support follow-up with existing students and families regarding course continuation, scheduling needs, and program information
- Assist the team in sharing information about available courses, programs, and services
- Help identify student or parent needs and communicate them to the appropriate internal team
- Provide basic input on parent/student feedback, class demand, and operational improvements
Qualifications
- At least 1 year of experience in administration, customer service, education support, course coordination, receptionist work, or a related role
- Bilingual fluency in English and Mandarin is required to support communication with students, parents and teachers
- Strong organizational skills and ability to manage multiple tasks and priorities
- Strong written and verbal communication skills
- Detail-oriented, reliable, and able to follow through on tasks
- Comfortable communicating through WeChat, phone and email
- Proficiency in Microsoft Office Excel and Word
- Able to handle parent/student concerns professionally and calmly
- Familiarity with the Ontario education system, private tutoring, or after-school programs is an asset
- Experience working in an education, tutoring, or after-school institute environment is a strong asset
Education
- Post-secondary education in Business Administration, Education, Marketing, Communications, or a related field is preferred

Work Location: Markham, ON (Onsite)
Schedule: Full-time, 5 days per week. Availability on Mondays and Fridays is required. Days off will be arranged based on business needs.
