Position Overview
We are seeking a highly organized and detail-oriented Receptionist / Shipping & Office Coordinator whose primary responsibility will be coordinating all outbound and inbound shipping logistics, while also managing front-desk operations and general office administration.
This role is critical to ensuring smooth daily operations, professional client interactions, and on-time product delivery.
Key Responsibilities1. Shipping & Logistics Coordination (Primary Duty)
- Arrange and schedule all outbound shipments (local courier, LTL, FTL, and freight carriers)
- Prepare shipping documents (BOLs, packing slips, courier waybills, customs paperwork if required)
- Coordinate with production and warehouse teams to ensure shipments are ready and properly staged
- Communicate pickup times and delivery expectations internally and externally
- Track shipments and proactively resolve delivery issues
- Compare freight quotes and help manage shipping costs
- Maintain organized records of all shipping documentation
- Assist with inventory coordination related to shipping schedules
2. Reception & Front Desk Duties
- Greet and assist visitors, clients, and vendors professionally
- Answer and direct incoming calls
- Manage incoming and outgoing mail and courier deliveries
- Maintain a clean and professional reception area
- Coordinate meeting room bookings and visitor arrangements
3. Office Administration
- Order and manage office supplies
- Support management with administrative tasks as required
- Assist accounting with document collection and filing
- Maintain organized filing systems (physical and digital)
- Support internal coordination between departments (sales, production, warehouse)
Qualifications & Skills
- Experience in office administration, reception, or logistics coordination
- Experience arranging freight or courier shipments (strong asset)
- Strong organizational and multitasking abilities
- Excellent communication skills (verbal and written)
- Comfortable using Microsoft Office (Excel, Outlook, Word)
- Experience with ERP systems is an asset
- Ability to work in a fast-paced manufacturing environment
- Professional demeanor and strong customer-service mindset
