The Operations & Logistics Administrator will provide key support role responsible for the day-to-day administrative, travel, and logistics functions that keep Forged Drilling's operations running smoothly. This role provides front-line administrative coverage while supporting crew travel coordination, Operations administration, and general office management across the organization
Job Summary:
We are seeking a proactive and detail-oriented Operations & Logistics Administrator to support Forged Drilling’s Business Operations, Finance and HR teams. Key Responsibilities:
Employee & Safety Documentation
o Track and maintain employee safety documentation
o Manage onboarding safety paperwork
o Complete and track background checks and driver abstracts
o Maintain and support the company Competency Program
o Ensure all records are current, organized, and audit-ready
Travel & Crew Logistics Coordination
o Book and manage flights, hotels, and ground transportation for Canadian and U.S. field crews
o Coordinate crew change-over logistics — manage crew change forms, communicate schedules, and liaise with field supervisors
o Handle travel troubleshooting and provide real-time support for crew travel issues
o Maintain and update the company travel booking platform, ensuring accuracy and compliance with travel policies
o Develop and maintain organized records of all travel bookings and crew logistics
Office Administration & Reception
o Manage front desk and reception — answer phones, greet visitors, and handle general office inquiries
o Monitor and manage company email inboxes and route correspondence appropriately
o Coordinate mail, couriers, and shipping logistics
o Manage office supply inventory — ordering, stocking, and maintaining organized office spaces
o Provide general administrative support to leadership and departments as needed
o Assist with filing, scanning, document organization, and records management
HR Admin & Onboarding Support
o Assist with employee onboarding preparation — set up system access, coordinate technology purchases, and prepare welcome packages
o Support the People team with administrative HR tasks and documentation processes as needed
Scheduling & Operational Support
o Assist with crew scheduling coordination and communication between departments
o Support operational planning logistics and project administration tasks
o Coordinate meeting logistics — book rooms, prepare materials, track attendance
o Assist with meeting minutes and action item follow-up as required
o Provide administrative support to the Business Operations Manager on projects and initiatives
o Assist with basic data entry, reporting, and operational tracking tasks
Finance Support
o Assist with basic data entry, reporting, and finance tracking
o Accurate entry of accounts payable and accounts receivable
o Accurate entry of visa transactions, receipt matching and reconciliations where necessary
o Manage supplier payments and customer collections
o Other projects, reporting and accounting related duties
You Will Thrive in This Role If You:
· Have at least 3 years’ experience working in an administrative role
· Have demonstrated strong organizational and time-management skills
· Are known for your high attention to detail and accuracy
· Are comfortable working with digital platforms and databases
· Can demonstrate strong written and verbal communication skills
· Have the ability to handle confidential information professionally
