About the Role
Infracon Construction is seeking a professional, organized, and personable Office Coordinator to support the day-to-day operations of our Kamloops office.
This role includes a strong front desk and reception component and will serve as an important first point of contact for employees, visitors, vendors, clients, community partners, and project teams. The successful candidate will help ensure the office runs smoothly, remains organized, and provides a welcoming and professional experience for everyone who interacts with Infracon.
This position is well suited for someone who enjoys variety, takes pride in creating order, and can balance reception duties, office coordination, administrative support, internal communication, community event support, company events, and general office operations. The ideal candidate is approachable, detail-oriented, reliable, and comfortable supporting multiple departments in a fast-paced construction and project-based environment.
As Office Coordinator, you will report to the HR & Community Relations Manager and play a key role in supporting front desk reception, office operations, administrative coordination, internal communications, community events, company events, and day-to-day office support. This position helps ensure the Kamloops office reflects Infracon’s standards of professionalism, safety, teamwork, and community connection.

Key Responsibilities
Front Desk Reception & Office Communication
- Act as the primary front desk contact for the Kamloops office
- Greet visitors, employees, clients, vendors, community partners, and project personnel in a professional and welcoming manner
- Answer, screen, and direct incoming phone calls and general inquiries
- Monitor and respond to general office communications as required
- Receive, sort, and distribute mail, courier deliveries, packages, and office correspondence
- Maintain a professional, organized, and welcoming front reception area
- Support visitor sign-in, access, and general office safety procedures
- Direct inquiries to the appropriate department or team member in a timely and professional manner
Office Coordination
- Support the day-to-day operation of the Kamloops office
- Maintain office supplies, kitchen supplies, stationery, equipment, and common areas
- Coordinate office maintenance, repairs, cleaning, vendor services, and general office needs
- Ensure meeting rooms, reception areas, kitchens, and shared spaces are clean, organized, and ready for use
- Assist with office seating, setup, onboarding space, equipment coordination, and general office logistics
- Identify office issues or improvement opportunities and help coordinate practical solutions
- Maintain a positive, organized, and professional office environment
Administrative Support
- Provide general administrative support to HR, senior leadership, operations, accounting, estimating, and project teams as required
- Prepare, format, scan, file, and organize documents, forms, letters, meeting materials, and internal communications
- Support calendar coordination, meeting bookings, room reservations, and meeting preparation
- Assist with data entry, tracking logs, spreadsheets, records, and basic reporting
- Support document control, file organization, and digital recordkeeping as required
- Help maintain accurate and organized administrative systems
Community Relations, Communications & Company Events
- Support the HR & Community Relations Manager with coordination related to community events, sponsorships, meetings, and local initiatives
- Assist with planning, organizing, and coordinating company events, employee engagement activities, office gatherings, training sessions, and community-facing initiatives
- Support internal communications related to office updates, company events, employee notices, community initiatives, and general announcements
- Assist with preparing event materials, communications, sign-in sheets, invitations, supplies, agendas, and follow-up items
- Help coordinate logistics for events, including catering, room setup, attendance tracking, materials, cleanup, and vendor coordination
- Support communication with employees, community partners, vendors, and external stakeholders in a professional and respectful manner
- Help ensure company and community events are organized, well-communicated, and aligned with Infracon’s professional standards
- Represent Infracon positively when supporting community members, visitors, and external partners
HR, Recruitment & Employee Support
- Support HR and recruitment with administrative tasks, interview coordination, onboarding logistics, and employee communications as required
- Assist with new hire packages, forms, orientation materials, and office introductions
- Help coordinate employee access cards, keys, office supplies, PPE, or other onboarding items as needed
- Support collection and organization of employee documents where required
- Assist with training coordination, meeting scheduling, and employee communication as directed
- Maintain confidentiality when handling employee, company, or candidate information
Accounting & Operations Support
- Assist with basic accounting and operational administration as required
- Support invoice routing, purchase order documentation, receipt collection, expense coding, or vendor follow-up where needed
- Help maintain organized records for office purchases, supplies, and vendor services
- Assist project and operations teams with document formatting, printing, scanning, filing, and distribution
- Support general coordination between office and field teams as required

- Follow company policies, procedures, and safety expectations
- Support a safe, clean, and organized office environment
- Maintain confidentiality when handling sensitive company, employee, client, financial, or project information
- Support a respectful, professional, and team-oriented office culture
- Identify and report office safety concerns or facility issues
- Represent Infracon positively and professionally in all interactions

Qualifications
- Previous experience in office administration, reception, office coordination, administrative support, event coordination, or a similar role is preferred
- Experience supporting a construction, industrial, professional services, or project-based office is considered an asset
- Experience assisting with company events, community events, internal communications, or employee engagement activities is considered an asset
- Proficiency with Microsoft Office and general administrative systems is required
- Strong computer, filing, document formatting, and data entry skills
- Valid Class 5 driver’s licence is preferred
- Must be eligible to work in Canada
Working Conditions
- Office-based role located in Kamloops, BC

Compensation & Benefits
