The Job Shoppe is hiring an Office Automation Administrator to join our team in Tecumseh, Ontario. This position is funded through the Canada Summer Jobs Program and is a great opportunity for a motivated individual looking to gain hands-on experience in office automation, recruitment systems, and HR operations. You will work closely with our internal team to support process improvements, data management, and digital workflow optimization.

What You’ll Be Doing
As an Office Automation Administrator, you will support the setup, maintenance, and optimization of automated workflows used across recruitment and administrative functions.
Responsibilities may include:
Automation Setup and Maintenance
- Support setup, testing, and monitoring of automated workflows for recruitment and communication
- Assist in updating automation rules, triggers, and templates in ATS, CRM, and communication platforms
- Troubleshoot basic automation issues and escalate as needed
- Monitor dashboards to ensure workflows are running accurately and on schedule
Data Management and Quality Control
- Enter, update, and maintain accurate candidate and client records
- Review automated communications and outputs for accuracy and formatting
- Clean and organize data, including removing duplicates and incomplete entries
- Support data imports, exports, and reporting tasks
Documentation and System Organization
- Assist in creating and maintaining standard operating procedures
- Organize digital files related to recruitment, onboarding, and compliance
- Update internal knowledge bases and workflow documentation
- Prepare weekly summaries on system performance and improvements
Communication Support
- Send templated email and SMS communications under supervision
- Prepare communication lists and ensure proper segmentation
- Support interview scheduling and follow-up reminders
- Assist with training materials for internal automation tools
Process Improvement
- Identify opportunities to automate repetitive tasks
- Test new tools and provide feedback
- Participate in team discussions on workflow improvements
- Support pilot projects for new automation initiatives
Recruitment and HR Support
- Assist with interview scheduling and onboarding workflows
- Prepare automated onboarding packages
- Track candidate progress through recruitment stages
- Maintain confidentiality and compliance with data privacy standards
Customer Service Support
- Respond to basic inquiries from candidates and staff
- Direct questions to appropriate team members
- Provide professional and friendly support
