Position Overview
The Niagara-on-the-Lake Chamber of Commerce is seeking a highly organized, energetic, and results-driven Administrative Assistant, Marketing & Sales professional to support the day-to-day operations of the Chamber while contributing to membership growth and marketing initiatives.
This dynamic role combines executive administrative support, membership sales and retention, relationship building, marketing, communications, and event support. The successful candidate will be the primary support person to the Executive Director while helping to strengthen the Chamber's presence in the business community through effective outreach, marketing, and member engagement.
The ideal candidate is a self-starter with strong communication skills, exceptional attention to detail, a customer-service mindset, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities Administrative Support
- Provide administrative support to the Executive Director and assist with daily Chamber operations.
- Manage calendars, schedules, meetings, correspondence, and office communications.
- Prepare reports, presentations, meeting agendas, and minutes.
- Maintain accurate membership records, databases, and filing systems.
- Assist with invoicing, membership renewals, and general office administration.
- Respond to member inquiries and provide exceptional customer service.
- Support the planning and execution of Chamber programs, events, networking functions, and meetings.
Membership Sales & Business Development
- Promote and sell Chamber memberships to prospective businesses and organizations.
- Identify and engage potential new members through networking, outreach, referrals, and community engagement.
- Build and maintain strong relationships with prospective and existing members.
- Conduct membership presentations and communicate the value of Chamber membership.
- Follow up on membership leads and maintain an active sales pipeline.
- Support membership retention initiatives and renewal campaigns.
- Assist members in maximizing the benefits of their Chamber membership.
- Attend community and business events as a Chamber representative.
Marketing & Communications
- Create engaging content for social media platforms including Facebook, Instagram and LinkedIn.
- Develop and schedule social media posts that promote Chamber programs, events, members, and initiatives.
- Update and maintain the Chamber website, ensuring content remains current and accurate.
- Assist in the creation of digital marketing materials, newsletters, promotional campaigns, and member communications.
- Capture and share content from Chamber events and activities.
- Monitor social media engagement and respond to inquiries as appropriate.
- Help promote Chamber events, sponsorship opportunities, and membership programs.
Qualifications
- Post-secondary education in Business Administration, Marketing, Communications, Sales, or a related field is considered an asset.
- Minimum 2 years of experience in administration, sales, marketing, customer service, or a related role.
- Strong interpersonal and relationship-building skills.
- Proven ability to communicate effectively both verbally and in writing.
- Experience with social media management and content creation.
- Experience updating websites and working with content management systems.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time-management skills.
- Ability to work independently and manage multiple projects simultaneously.
- Sales experience and confidence in business development activities are considered strong assets.
- Knowledge of the Niagara-on-the-Lake business community is an asset.
