Full job description

Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will have a strong background in administrative support and customer service, with experience in managing office operations efficiently. This role is essential for maintaining smooth office functionality and providing excellent service to our clients.

Responsibilities

Manage daily office operations, including filing, data entry, clerical tasks and especially answering phone calls and entry data of the calls in the excel sheet.
Serve as the first point of contact for clients, handling inquiries with professionalism and courtesy.
Maintain organized filing systems and ensure proper documentation is readily accessible.
Handle multi-line phone systems, directing calls appropriately while demonstrating excellent phone etiquette.
Provide customer support by addressing client needs and resolving issues promptly.
Assist with scheduling appointments and managing calendars for team members.
Collaborate with team members to streamline administrative processes and improve office efficiency.
Proofread documents to ensure accuracy and clarity before distribution.

Requirements

Must have experience of 1 year in the related field.
Proven experience in an office environment, preferably in a medical or dental setting.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Excellent organizational skills with attention to detail in all tasks performed.
Ability to perform data entry accurately and efficiently while maintaining confidentiality of sensitive information.
Strong typing skills with a focus on accuracy; previous clerical experience is preferred.
Exceptional customer service skills with a friendly demeanor and the ability to handle challenging situations effectively.
Experience working with multi-line phone systems is highly desirable.
Previous experience as a dental receptionist or in a similar role within a dental office is advantageous but not required.
