Position Summary
This role offers a unique opportunity for career growth within Property Management and Office Services. Reporting to the Senior Property Management Assistant or designate, the position combines operational support with exposure to commercial and residential financials, service agreements, and tenant engagement initiatives.

Key Responsibilities
Reception & Office Services
- Serve as the first point of contact for visitors and inquiries, ensuring a professional and welcoming environment
- Manage incoming and outgoing mail and courier deliveries
- Maintain the reception area, kitchen and meeting rooms, ensuring they are tidy and well-stocked
- Coordinate meeting room bookings and catering for internal and tenant events
- Order and maintain office supplies and kitchen supplies
- Support general office administration, including filing, scanning, and photocopying
- Coordinate with IT for Brampton office support needs
- Coordinate corporate initiatives and events for the Brampton and Property Management site teams as needed
Property Management Support
- Maintain up-to-date contact lists for contractors, tenants, and site staff
- Monitor Concert On-Call, providing initial responses to commercial tenants and forward requested work to responsible Property Manager, Property Management Assistants and Operations Maintenance Technicians
- Provide support to the Property Management Assistants on financial reporting and arrears collection during absences
- Track expiration dates for service agreements and support service agreement renewals or new contract document coordination
- Update contractor spreadsheets for seasonal and preventative maintenance (e.g., HVAC, cleaning, inspections)
- Assist with organizing tenant or resident appreciation events and department newsletters
- Directly support the Property Managers on a small portfolio of low touch properties currently slated for future development
- Provide administrative and coordination support for the Operations management team for capital projects and landlord work projects across the Ontario region.
- Manage uniform inventory for all maintenance teams.
Required Knowledge & Skills
- High school diploma or equivalent; post-secondary education is an asset.
- 1-2 years of experience in office administration, customer service, or property management preferred.
- Strong verbal and written communication skills.
- Friendly, professional demeanor with a customer service orientation.
- Attention to detail and ability to follow instructions.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with property management software (e.g., Yardi) is an asset.
- Willingness to learn and take on new tasks.
