As we enter an exciting new chapter with a shared leadership model, we are seeking an experienced and collaborative Head of Operations to help shape the future of our school and support our growing community.
Position Overview
As part of Touchstone Academy's shared leadership model, the Head of Operations provides strategic and operational leadership for the School's financial, administrative, admissions, and operational functions while working in partnership with the Head of Academics, who leads the educational program. Together, these two leaders foster a positive, well-managed, and student-centred school community.
Working closely with the Board of Directors, Treasurer, Finance Committee, and Bookkeeper, the Head of Operations ensures the systems, resources, and day-to-day operations of the School effectively support students, families, and staff while advancing Touchstone Academy's strategic priorities.
This is a highly collaborative, hands-on role for a relationship-focused leader who enjoys improving processes, solving problems, and helping organizations thrive. As an active and visible presence within the school community, the Head of Operations builds meaningful relationships with students, families, staff, and community partners while helping create a welcoming, safe, and engaging learning environment.
Position Details
Term: This is a one-year contract position from September 1, 2026, to August 31, 2027, with the intention of transitioning the successful candidate into a permanent position, subject to mutual fit and organizational needs.
Hours: Approximately 30–35 hours per week. While most responsibilities will be carried out during regular school hours, the successful candidate will also attend approximately two to three evening Board or committee meetings each month and occasional school events.
Salary: Starting salary of $65,000, based on experience and qualifications, plus a comprehensive benefits package including health and dental coverage, RRSP matching, and tuition discounts for eligible employees' children.
Key Responsibilities
Financial Operations
Working alongside the Treasurer, Finance Committee, and Bookkeeper, the Head of Operations will:
- Support the development and monitoring of the School's annual operating budget.
- Oversee the School's day-to-day financial administration, including payroll, tuition, banking, accounts payable, and regulatory remittances.
- Ensure sound financial practices through accurate reporting, review, and oversight.
- Support tuition administration, payment arrangements, and financial assistance.
- Prepare financial reports and operational updates for the Treasurer, Finance Committee, and Board of Directors.
School Operations
The Head of Operations will:
- Oversee the daily operations of the School, ensuring a safe, efficient, and welcoming environment.
- Coordinate facilities, maintenance, contractors, vendors, and operational services.
- Lead health and safety, emergency preparedness, and regulatory compliance.
- Manage school resources, supplies, and administrative services.
- Support operational planning throughout the school year.
Compliance & Administration
The Head of Operations will:
- Coordinate licensing, regulatory reporting, and organizational compliance.
- Maintain student records, tuition agreements, and key administrative documentation.
- Coordinate the annual school calendar and operational planning.
- Develop and maintain efficient administrative systems and processes.
Enrollment & Admissions
Working alongside the Head of Academics, the Head of Operations will:
- Lead the School's admissions and enrollment process from initial inquiry through onboarding.
- Build meaningful relationships with prospective and current families.
- Coordinate school tours, interviews, enrollment documentation, and family communications.
- Partner with the Head of Academics to support admissions decisions, student transitions, and family retention.
- Monitor enrollment trends and provide updates to the Board of Directors.
School Presence & Community
The Head of Operations will:
- Maintain a visible and engaged presence throughout the school community.
- Build positive relationships with students, families, staff, and community partners.
- Foster a welcoming, safe, and inclusive school culture.
- Represent Touchstone Academy at school and community events.
Communications
The Head of Operations will:
- Coordinate operational communications and family engagement initiatives.
- Support school marketing and enrollment efforts alongside the Head of Academics and Board committees.
- Ensure families receive timely, accurate, and welcoming communication regarding school operations and administration.
Board & Organizational Support
The Head of Operations will:
- Support the Board of Directors and Board Committees through reporting, meeting preparation, and follow-up.
- Assist with governance initiatives, policy implementation, and strategic priorities.
- Maintain systems and processes that support the effective operation of the School.

Qualifications
- Post-secondary education in business administration, operations management, or a related field (or an equivalent combination of education and experience).
- Experience in education, nonprofit leadership, business administration, organizational management, or operations would be considered an asset.
- Current Standard First Aid and CPR certification (or willingness to obtain prior to commencing employment).
- Satisfactory Criminal Record Check, including a Vulnerable Sector Check.
- Satisfactory Social Development Record Check.
- Legally entitled to work in Canada.
