Scope of Position
Reporting to the Vice-President, Finance, the Manager, Finance Operations provides strategic leadership and direction to achieve departmental objectives while maintaining high standards of operational effectiveness, efficiency, and service delivery to internal and external stakeholders. The role oversees a multi-functional team across Accounting, Payroll, and Accounts Payable.
Key Responsibilities
Accounting
- Establish and oversee balance sheet reconciliation processes, including risk-based scheduling and review.
- Ensure timely resolution of outstanding items and discrepancies; provide support to expedite issue resolution.
- Escalate high-risk or unresolved matters to senior leadership, including the VP, Finance and CFO, as appropriate.
- Oversee treasury-related accounting, including journal entries and reconciliation of related bank accounts.
- Supervise product balancing, ABM settlements, and settlements related to bank products (e.g., drafts, foreign exchange).
- Manage capital assets and lease accounting, including asset register maintenance, depreciation, forecasting, and annual impairment testing.
Payroll
- Oversee accurate and timely biweekly payroll processing across multiple provinces.
- Perform second-level review and approval of payroll changes prior to submission to the external provider.
- Ensure compliance with internal policies and applicable federal and provincial regulations.
- Maintain payroll-related statutory accounts (e.g., CRA, Revenue Québec) in good standing.
- Oversee year-end payroll, including T4 preparation and regulatory filings.
- Lead the preparation of payroll forecasts and annual compensation budgets.
Accounts Payable
- Ensure timely and accurate processing of vendor payments in accordance with internal controls and policies.
Leadership and Operational Management
- Set annual departmental goals aligned with corporate priorities.
- Lead, coach, and develop a multi-functional team.
- Allocate resources effectively across Accounting, Payroll, and Accounts Payable.
- Monitor and manage team performance.
- Lead participation in external and internal audits.
- Oversee administration and governance of the Sage 300 system, including access controls and maintenance.
Project and Change Management
- Support corporate initiatives by assessing impacts on Finance Operations.
- Provide subject matter expertise on accounting implications, systems, and process changes.
- Ensure effective implementation of changes within the department.
Qualifications
Education & Experience
- CPA designation (or equivalent recognized professional accounting designation).
- Minimum of 5 years’ experience managing accounting, payroll, and accounts payable functions.
Knowledge & Skills
- Strong knowledge of IFRS.
- Knowledge of Canadian payroll regulations and compliance requirements.
- Advanced proficiency in Microsoft Excel (e.g., pivot tables, formulas, lookups).
- Experience with financial systems, including Sage 300 and ADP.
