What is the role?
If you enjoy playing a critical role managing lots of balls in the air and acting as a bridge between outside business partners and your internal team, then by all means read on! As a Production Coordinator you would be responsible for processing all drop-ship/special orders and assisting Account Managers in processing client ordering requests.
What will you do?
- Completed detailed order entry, prepare sales order confirmations to clients and follow-up to confirm receipt;
- Work with clients to record and resolve any issues or changes to orders;
- Prepare & email supplier PO’s, confirming their receipt of PO’s & artwork;
- Follow-up with suppliers for art proofs, pre-production samples as required for order and send to client for approval;
- Create packing slips as required and confirm the order ship date with the supplier;
- Review shipping records to obtain any additional freight, duty or brokerage charges;
- Prepare sales orders for Account Manager approval before final fulfillment for invoicing;
- Prepare and submit client reports as required;
- Coordinating in-bound freight (and possibly import duties and brokerage fees for import orders;
- Coordinating quality assurance inspections, lab testing, QC inspections as required;
- Assist with coverage of Receptionists’ lunch hour;
- Other duties as assigned.
What will you need to succeed?
- 1 year of related customer service, order production and order fulfillment experience;
- Experience in roles that require a significant level of attention to detail;
- Excellent organizational and time-management skills;
- Ability to multi-task, managing many projects with accuracy, each with critical time lines in a fast-paced environment;
- Exceptional customer service approach;
- Comfortable corresponding and speaking with internal stakeholders, clients and suppliers at various levels of authority;
- Works well in a collaborative team environment;
- Excellent oral and written communication skills;
- Knowledgeable of MS Office suite & and general comfort using different web-based technology.
