Role Summary
We are hiring an experienced, consultative sales professional who understands multiple sales strategies and can implement them in a renovation environment. This role is designed for an ambitious, self-motivated closer who thrives on relationship-based selling and wants meaningful earning upside with no ceiling.
This is a high-accountability sales role. You are fully responsible for managing your own pipeline, CRM, follow-ups, scheduling, and lead progression from first contact to signed agreement.
Approximately 50% of your expected leads will be provided by PHS, and you are expected to generate the other 50% through outbound activity, referrals, and relationship-building.
During your initial onboarding and ramp-up period, a CRM Manager / Sales Assistant will provide transition support to help you learn our systems, processes, and follow-up standards. However, long-term CRM ownership and pipeline management are fully your responsibility.
This position requires strong computer skills and a high level of comfort using technology, mobile applications, CRM platforms, and other digital tools used throughout the sales process. You must be willing and able to learn and consistently use company systems, including Hubstaff.
How the Role Works (Sales Specialist)
You (Sales Specialist) are responsible for:
- Running consultations and in-home meetings (including late evenings and weekends as required).
- Discovery, relationship building, needs analysis, and guiding homeowners through decisions.
- Objection handling, negotiation, and closing.
- Leading key milestone conversations: scope clarity, budget alignment, and commitment to proceed.
- Delivering high-quality handoffs to design/estimating/operations.
- Managing your CRM daily: tracking leads, updating stages, scheduling follow-ups, and maintaining accurate documentation.
- Handling inbound leads and ensuring every opportunity is captured and progressed properly.
- Executing consistent follow-up sequences between touchpoints.
- Booking meetings and coordinating scheduling directly with clients.
- Using company-provided technology, applications, and systems effectively, including Hubstaff.
Transition Support (Initial Ramp-Up Phase)
During your onboarding period, the CRM Manager / Sales Assistant will:
- Help ensure leads are captured properly while you learn the system.
- Support follow-up execution during your first active deal cycles.
- Provide guidance on pipeline organization and CRM best practices.
This support is intended to accelerate your transition — not replace your ownership. By the end of the ramp-up period, you are expected to independently manage your pipeline with full accountability for follow-ups, documentation, and conversion performance.
Key Responsibilities
1) Client Consulting & Closing
- Meet homeowners (in-home and/or virtual) to confirm renovation goals, priorities, budgets, and timelines.
- Present the PHS process clearly and confidently from consultation through design and construction.
- Build trust through professional, ethical, consultative conversations—this is not a high-pressure sales environment.
- Present proposals and next steps in a clear, organized manner.
- Close agreements while maintaining a premium client experience and accurate expectations.
2) Pipeline Ownership & Lead Management (with Admin Support)
Own the movement of each opportunity from lead → consultation → proposal → signed agreement.
Maintain 95%+ CRM accuracy at all times.
Ensure every open opportunity has:
- An updated stage
- Documented notes
- A scheduled next step or follow-up date
Ensure no lead is left without a clear progression plan.
Maintain visibility over timelines, decision points, and client communication.
Deliver clean, accurate handoffs to design and operations aligned with client expectations.
3) Lead Generation & Relationship Building
- Work all company-provided leads with urgency, professionalism, and a structured follow-up cadence.
- Generate approximately 50% of your pipeline through referrals, networking, events, strategic outreach, and relationship-building.
- Actively request introductions and referrals when appropriate and maintain strong client relationships post-sale.
4) Documentation & Internal Coordination
- Capture project details clearly (notes, photos, video as required) to support accurate estimating and design development.
- Collaborate closely with design and operations to ensure scope clarity and smooth transitions between phases.
- Provide field insights to improve sales systems, marketing performance, and overall client experience.
5) Brand Representation
- Represent PHS professionally at all times—confident, approachable, and trustworthy.
- Communicate with transparency and follow-through, setting expectations that protect the project experience.
- Support growth initiatives by participating in networking and community events when required.

Success in this role is tracked through clear, measurable performance standards. Targets may be adjusted based on seasonality and lead flow, but baseline expectations include:
1. Lead Response Time
- Respond to all new inbound leads within 15 minutes during business hours, and within 12 hours outside business hours.
2. Appointment Set Rate
- Convert 30–40% of qualified inbound leads into a booked consultation (in-home or virtual), tracked monthly.
3. Close Rate (Proposal to Signed Agreement)
- Close 25–35% of issued proposals into signed agreements, tracked quarterly.
4. CRM Leadership & Pipeline Hygiene (CRM Manager Accountability)
- Maintain 95%+ CRM accuracy across your pipeline: every open opportunity has an updated stage, documented notes, and a scheduled next step/follow-up date.
- Complete a weekly pipeline review self-review to confirm follow-up completion, identify stalled leads, and correct data gaps (audited weekly).
5. Self-Generated Pipeline Contribution
- Ensure 50% of monthly booked consultations come from self-generated sources (referrals, networking, outbound), tracked monthly.
Required Experience & Skills
- Minimum 2 years of sales experience with demonstrated results (home renovations, construction, real estate, interior design, or related industries preferred).
- Strong understanding of different sales strategies and the ability to implement them consistently.
- Working knowledge and understanding of construction and renovation concepts and terminology.
- Strong communication and negotiation skills with a consultative mindset.
- Strong computer skills and confidence using modern technology, applications, CRM systems, and digital sales tools.
- Competent and adaptable when learning new apps, software, and company systems.
- Comfortable using Hubstaff as part of the role.
