We are passionate about creating exceptional outdoor spaces and delivering a high level of service to our clients from initial consultation through project completion.

Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant & Project Coordinator to support our leadership team and help manage the day-to-day administrative and project coordination needs of the company.

This role is ideal for someone who enjoys a dynamic position that combines executive support, office administration, and project coordination. The successful candidate will play a key role in keeping our office operations efficient, supporting client communications, and helping projects move forward smoothly.

Key Responsibilities

Executive Support

Manage calendars, schedule meetings, and coordinate appointments for company leadership.
Prepare correspondence, reports, presentations, and meeting materials.
Assist with email management and follow-up communications.
Maintain organized digital and physical records.

Project Coordination

Assist in tracking project timelines, milestones, and deliverables.
Coordinate communication between clients, designers, suppliers, and construction crews.
Help prepare project documentation, proposals, invoices, and change orders.
Monitor project-related tasks and follow up to ensure deadlines are met.
Support the team in maintaining accurate project records and updates.

Office Administration

Manage day-to-day office operations and administrative processes.
Handle incoming inquiries and provide professional client support.
Maintain office supplies, records, and filing systems.
Assist with bookkeeping support, invoicing, and data entry as needed.
Support team members with administrative and operational tasks.

Qualifications

Previous experience in an executive assistant, administrative assistant, office administrator, project coordinator, or similar role.
Strong organizational and time-management skills with the ability to prioritize multiple tasks.
Excellent written and verbal communication skills.
Experience in landscaping, construction, or a project-based industry is considered an asset.
Proficiency with Microsoft Office, Google Workspace, and/or project management software.
Ability to work independently, take initiative, and maintain confidentiality.
