Overview
We are seeking an experienced and highly organized Project Coordinator to support the procurement and delivery of bespoke art, furniture, objets, and décor packages for residential, corporate, commercial, hospitality, and amenity spaces. This role is ideal for a detail-oriented professional with strong project coordination capabilities, exceptional client service skills, and a refined understanding of design, sourcing, fabrication, logistics, storage, and installation coordination.
Working closely with the OOS&P Project Lead, clients, designers, vendors, fabricators, artists, logistics teams, and internal stakeholders, the Project Coordinator will support the successful execution of projects, ensuring they are delivered seamlessly, on time, and within budget.
Your responsibilities will include:
- Supporting procurement projects from concept through installation and project close-out
- Coordinating project schedules, procurement trackers, budgets, and delivery timelines
- Researching and sourcing furniture, artwork, lighting, décor, textiles, and custom furnishings
- Preparing purchase orders, monitoring production, shipping, and delivery schedules
- Coordinating domestic and international logistics, warehousing, customs, and white-glove deliveries
- Assisting with quotations, vendor communications, invoice reconciliation, and procurement documentation
- Maintaining organized project files, specifications, approvals, and change orders
- Supporting quality control throughout fabrication, production, delivery, and installation
- Coordinating installation schedules with contractors, vendors, and site teams
- Communicating professionally with clients and providing regular project updates
- Building and maintaining strong relationships with artists, galleries, manufacturers, fabricators, and suppliers
- Assisting in resolving scheduling, production, shipping, and installation challenges
- Supporting multiple projects simultaneously in a fast-paced, collaborative environment
What We're Looking For
- Minimum 3 years of experience in project coordination, procurement, FF&E, logistics, hospitality design, interior design, or a related field
- Experience coordinating custom or bespoke furniture, artwork, lighting, or décor procurement projects
- Strong understanding of design documentation, materials, fabrication processes, and vendor coordination
- Exceptional organizational, multitasking, and time management skills
- Strong budgeting, quotation review, and financial tracking abilities
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office 365 and project management software
- Experience within luxury residential, hospitality, commercial, or amenity projects is considered an asset
- Existing relationships with vendors, artists, galleries, manufacturers, or fabricators are an asset, but not required
Pay: $65,000.00-$80,000.00 per year
