Qualifications

MINIMUM FORMAL EDUCATION/TRAINING:

Undergraduate degree in a related discipline is required (administration, business, events).
May consider a combination of education and/or work experience.

EXPERIENCE:

Minimum of one year of directly-related administrative experience is required.
Minimum of two years’ administrative experience supporting a senior executive is preferred.
Experience in a post-secondary institution or Indigenous organization is an asset.
Working knowledge of university systems such as VIP, Epic, Fast and Concur (or equivalent), or other purchasing, billing and travel systems is an asset.

SKILLS AND ABILITIES:

Competency with Indigenous cultural awareness is required.
Strong critical thinking skills, with a demonstrated ability to make sound independent judgments, and take initiative is required.
Strong ability to synthesize information and take minutes is required.
Excellent time management skills, with a demonstrated ability to coordinate workflow, prioritize work and handle multiple tasks at the same time is required.
Superior proofreading, accuracy and attention to detail is required.
Ability to receive feedback, take direction and seek clarification as necessary is required.
Superior organizational skills are required.
Excellent ability to anticipate and resolve problems is required.
Excellent oral and written communication skills are required.
Demonstrated ability to work independently and in a team environment is required.
High degree of competency with word processing, spreadsheet, Powerpoint presentations and online meeting software is required.
Ability to perform all duties in a professional and diplomatic manner, and ability to maintain confidentiality is required.
Strong understanding of digital platforms to host national meetings is required.
Ability to identify procedures and processes requiring improvement and recommend, develop and implement modifications to improve office efficiency is required.
Satisfactory work record, including satisfactory attendance and punctuality, is required.

Key responsibilities

Administrative Support

Responsible for efficient administrative support to the Professor; screens phone calls, manages complex calendar scheduling, including the coordination and prioritization of meetings, conferences, and other key events. Organizes itineraries, compiles, monitors, and distribute materials, and arrange for all associated logistics as required (daily).
Coordinates international and national delegates and meetings.
Drafts correspondence.
Prepares briefing notes, presentations, PowerPoints, speaking notes, drafts messages for communications.
Attends and records minutes of all meetings requested by the Professor and will confer to determine pertinent materials for distribution for meetings and maintain a record of pending agenda items (daily).
Assists with grant application activities, including preparation and coordination of grant application packages, liaising with Office of Research Services and research collaborators, plus manuscript and journal submissions.
Acts as the administrator for various research projects, including: meeting scheduling, draft agendas, minutes, and follow-up to ensure that all actions and recommendations have been handled. Maintain databases, track outcomes. Book rooms, hospitality, equipment, etc.
Records the Professor’s federal lobbying interactions throughout the month. Unit information to be compiled for inclusion on the Federal Lobbying Act Compliance Form.
Books travel for the Professor, and others as required and prepares reports such as mileage, travel claims, expense reports.
Acts as liaison between the Professor and the Permanent Forum on Indigenous Issues secretariat.
May be requested to solicit and compile data for special projects.
Provides technical support for all digital applications and platforms (zoom, webex, teams, streamyard)
Arranges IT support.
Distributes confidential communication, litigation, and meeting minutes.
Sets up audio/visual equipment for presentations.

Financial Support

Reconciles and reviews budget, coordinating purchases, reconciliation of expenses, liaising with Aurora finance and other units regarding financial matters.
Initiates and completes general purchasing and reconciliation, queries, and processes invoices and interdepartmental charges.
Prepares a quarterly travel audit report noting all travel expenses for the Professor.
Prepares, tracks and reconciles honoraria, travel costs, or appropriate remuneration for meeting and event attendees for the Professor.
Negotiates speaking fees, honorariums and partnership follow up, in consultation with Professor.

Other

May travel as required to meetings, Indigenous communities, traditional ceremonies and events.
Works in collaboration with the Law administrative support staff to ensure administrative excellence.
Other duties as assigned.
