Luxe Aesthetic Loft is seeking a polished, organized and confident Part-Time Clinic Manager & Client Coordinator to oversee daily clinic operations while providing exceptional front-desk support.
This is a hands-on leadership position. The successful candidate will work regular reception shifts while helping manage staff expectations, client communication, scheduling and the overall flow of the clinic. We are looking for someone who takes initiative, communicates professionally and is comfortable maintaining accountability within a busy medical-aesthetics environment.
KEY RESPONSIBILITIES
- Provide a warm, professional and elevated client experience
- Manage incoming calls, texts, emails and appointment requests
- Schedule appointments and collect required deposits and fees
- Oversee daily clinic flow and ensure reception is never left unattended
- Support, train and supervise reception staff
- Reinforce clinic policies, professional conduct and dress-code expectations
- Address routine client concerns and escalate clinical or serious matters to ownership
- Ensure opening, closing, laundry, cleaning and room-preparation duties are completed
- Monitor inventory and communicate supply needs
- Coordinate practitioner schedules and support efficient appointment flow
- Maintain accurate client documentation and confidential records
- Provide ownership with concise operational updates
- Assist with team scheduling, onboarding and administrative projects
- Help identify opportunities to improve clinic systems and the client experience
THE IDEAL CANDIDATE
- Has previous experience in clinic management, reception leadership, medical aesthetics, wellness and management.
- Is confident providing direction and holding team members accountable
- Communicates professionally, calmly and compassionately
- Has excellent judgment when handling sensitive client concerns
- Is highly organized and able to manage competing priorities
- Is reliable, punctual and comfortable working independently
- Has strong attention to detail and follows established policies
- Is comfortable using booking software, email, text messaging and basic office technology
- Understands the importance of client confidentiality and professional boundaries
- Presents themselves in polished business-casual attire
Previous medical-aesthetics experience and familiarity with injectables, laser treatments, facials or skincare services are considered strong assets. Clinical training is not required, as this is a non-clinical administrative and leadership role.
POSITION DETAILS
- Part-time position
- Approximately 3-4 shifts per week, with the potential for additional hours
- Some evening and weekend availability may be required
- On-site position in Langley, BC
- Compensation: $28-30 per hour, based on experience
- Initial 60–90-day probationary period
