Position Overview
We are seeking a full-time Website, Content & Creative Project Coordinator to support website management, content development, graphic design, branding, YouTube activities, email communications, application prototypes, and client-related digital projects across multiple companies and business initiatives.
This is a hands-on coordination role combining website administration, content preparation, visual design, project organization, and communication with clients and internal teams. The successful candidate should be highly organized, detail-oriented, comfortable managing multiple projects simultaneously, and able to coordinate tasks from initial request through completion.
Job Duties and Responsibilities
Website Management & Content
- Manage content, updates, and ongoing maintenance of multiple corporate and project websites.
- Coordinate website updates with internal team members and external service providers.
- Maintain and update website payment functionality, payment plans, service pages, recruitment pages, and other website features.
- Monitor website content for accuracy, consistency, functionality, and compliance with established branding standards.
- Coordinate website transfers, client handovers, closures, and other website-related administrative processes.
- Prepare and publish SEO-optimized website content, including blogs, service pages, landing pages, and informational materials.
- Apply SEO best practices, including keyword use, internal linking, page structure, and content optimization.
- Support preparation and updating of website content across multiple business and client projects.
Graphic Design & Branding
- Design and edit digital and print materials, including graphics, brochures, banners, presentations, promotional materials, and other branded assets.
- Prepare, review, and update brand books and ensure compliance with established visual standards.
- Maintain consistency in typography, layouts, graphic elements, and overall brand presentation.
- Create and edit animated content, motion graphics, promotional videos, and other multimedia materials.
- Prepare presentation slides and supporting visual materials for meetings, events, and business activities.
YouTube & Video Coordination
- Coordinate YouTube Live events from planning through execution.
- Schedule livestreams and prepare titles, descriptions, thumbnails, promotional materials, and supporting content.
- Coordinate livestream-related communication and preparation.
- Provide technical and organizational support during livestreams.
- Prepare and coordinate thumbnails, descriptions, graphics, and other supporting materials.
Email Communications
- Manage and administer email communications through platforms such as Zoho Campaigns.
- Prepare professional newsletters, announcements, client communications, and informational email campaigns.
- Coordinate mailing lists, content, formatting, scheduling, and distribution.
- Maintain consistency of messaging and branding across email communications.
UI/UX Design & Application Prototypes
- Design and update user-friendly application prototypes and wireframes based on product, business, and client requirements.
- Translate application requirements and design briefs into practical and visually effective UI solutions.
- Develop and maintain UI specifications, style guides, design systems, and visual standards.
- Review and update existing prototypes as business or technical requirements change.
- Analyze client and user feedback and incorporate appropriate design improvements.
- Support usability testing and prepare or present findings when required.
- Coordinate with developers, project managers, clients, and internal team members regarding prototype development and implementation.
Client & Project Coordination
- Coordinate website, design, content, business visibility, and related services for multiple clients and projects.
- Maintain accurate internal tracking tables, client records, project information, and status updates.
- Follow up with internal team members and clients to ensure required deliverables, agreements, payments, and information are completed on time.
- Communicate with clients regarding websites, content, branding, account access, project deliverables, and related administrative matters.
- Coordinate transfer of websites, digital accounts, project materials, and other assets to clients when required.
- Assist with preparation and coordination of business-related materials required for immigration or other client projects.
- Work collaboratively with management, administrative, immigration, business development, creative, and technical teams.
- Maintain and update Google Business information, including business photos, addresses, social media links, and important posts.
Required Qualifications
- Post-secondary education in Graphic Design, Web Design, Communications, Business Administration, Multimedia, or a related field, or an equivalent combination of education and relevant experience.
- Previous experience in website management, content coordination, graphic design, project coordination, or a similar multidisciplinary role.
- Experience maintaining and updating websites using common content management systems.
- Understanding of SEO principles, including keyword optimization, internal linking, page structure, and website content optimization.
- Experience preparing professional digital and print materials.
- Experience using graphic design and visual content tools such as Adobe Creative Suite, Canva, Figma, or comparable software.
- Experience creating or updating website/application prototypes, wireframes, or UI designs.
- Familiarity with email communication platforms such as Zoho Campaigns, Mailchimp, or comparable systems.
- Experience coordinating YouTube livestreams or similar online activities.
- Strong project coordination and organizational skills.
- Ability to manage multiple companies, clients, projects, priorities, and deadlines simultaneously.
- Strong attention to detail and ability to maintain accurate records, tracking tables, digital assets, and documentation.
- Ability to communicate professionally with clients, internal teams, developers and external service providers.
- Ability to work independently, prioritize tasks, and follow projects through to completion.
- Strong computer literacy and ability to quickly learn new software and digital platforms.
- Strong professional writing and communication skills in both English and Russian.
Assets
- Experience with Webflow, including website content updates, CMS management, page editing, and general website maintenance.
- Experience with WordPress or other website content management systems.
- Basic knowledge of HTML/CSS.
- Experience working with professional services, consulting, immigration, technology, or client-service organizations.
