Responsibilities

SUMMARY:

Prepares and maintains detailed maintenance schedules for CMBC facilities and infrastructure assets. Coordinates labour, materials, and access requirements to support efficient and safe maintenance operations. Ensures schedules align with established maintenance plans, regulatory requirements, and operational priorities. Validates work readiness, monitors performance in the Enterprise Asset Management (EAM) system, and works collaboratively with the Infrastructure Maintenance team to optimize maintenance execution and minimize downtime.

DUTIES AND RESPONSIBILITIES:

1. Scheduling & Coordination

Reviews work requirements and priorities established by the Maintenance Planner and develops executable daily and weekly schedules in coordination with Assistant managers and the trades.

Develops, updates, and publishes preventive and corrective maintenance schedules for facilities, systems, and infrastructure assets.

Converts long-term maintenance plans into executable short-term schedules.

Coordinates work between multiple trades to avoid conflicts.

Liaises with internal and external stakeholders will that be affected by planned maintenance work, and align scheduled work to minimize disruptions to their operations and accommodate other requirements.

Ensures regulatory and safety-critical tasks (e.g., inspections, code compliance work) are scheduled on time.

2. Work Readiness & Resource Validation

Confirms job readiness prior to scheduling, verifying scope, materials, permits, and labour availability to minimize downtime and maximize efficiency.

Confirms spare parts, tools, and equipment are available and pre-staged before work starts.

Identifies and addresses material or resource constraints prior to scheduled work.

Monitors work order progress, identifies delays or conflicts, and reschedules work as required to maintain continuity of operations.

Ensures work packages include required drawings, job safety plans, and asset information.

3. Schedule Optimization & Analysis

Balances workload across available labour hours to optimize productivity.

Tracks schedule adherence, identifies variances, and investigates causes of delays or deferrals.

Conducts weekly schedule reviews to adjust upcoming work based on resources constraints and other priorities arising.

Monitors backlog levels, ensuring critical tasks are not overdue.

Identifies trends or recurring scheduling issues and recommends process improvements.

4. Data Management & Systems Administration

Maintains and updates schedules in Enterprise Asset Management (EAM) and other scheduling tools.

Runs reports and dashboards for planned vs. completed work, resource utilization, and key performance metrics (e.g., schedule compliance, wrench time) and identifies impacts to future schedules.

Audits and fixing EAM data quality to ensure accurate dates, asset tags, and work status codes.

Integrates special or capital work into maintenance windows and ensures visibility to all stakeholders.

5. Communication & Stakeholder Coordination

Acts as the primary scheduling point of contact for maintenance trades, supervisors, operations staff, and external contractors.

Conducts weekly coordination meetings to confirm upcoming work and resource assignments.

Communicates schedule changes, impacts, and constraints to operations, tenants, and internal customers in a timely manner.

Liaises with various stakeholders and participants when arranging external contractor work, to better align with internal work schedules and avoid duplication of effort.

Works closely with the Infrastructure Maintenance team to ensure continuous alignment between plan, schedule, and execution.

6. Continuous Improvement

Supports post-job reviews to identify lessons learned for future scheduling improvements.

Recommends adjustments to scheduling processes, tools, or reporting methods to improve reliability and efficiency.

Participates in audits, performance reviews, and planning meetings to support continuous improvement of maintenance practices.

Supports compliance with regulatory and safety-related maintenance requirements by monitoring schedules and identifying potential risks related to delayed or missed work.

7. Performs related duties as assigned, such being items of a minor nature that do not affect the value of the job.

Qualifications

EDUCATION:

Requires a minimum of college diploma in mechanical/electrical engineering, industrial maintenance, Facilities Management or a related technical field from a recognized post-secondary institution; or Certification in Maintenance Management Professional or Asset Management Program (e.g. PEMAC, CTAM).

Requires coursework from a recognized training program related to maintenance planning and scheduling.

Requires a valid BC Driver’s License and the ability to occasionally attend field sites.

EXPERIENCE:

Minimum of four (4) years of experience in maintenance planning, scheduling, or reliability engineering in an industrial or facility management environment, including experience in coordinating work for multi trade at multiple work sites, as well as the ability to interpret work orders, asset data, and maintenance plans in the maintenance management system.

Of the four (4) years, a minimum of one (1) year of experience must be with a computerized maintenance management system.

Also, of the four (4) years, a minimum of one (1) year of experience must demonstrate working knowledge of equipment operations, preventive and corrective maintenance principles as they relate to building systems and equipment (e.g. HVAC, electrical, plumbing, industrial equipment, building envelope), as well as working knowledge of regulatory maintenance requirements (by WorkSafeBC, Technical Safety BC, etc.) in prioritizing work.

A further period of up to six (6) months on the job is required to become familiar with CMBC’s assets, maintenance programs, and scheduling standards.

Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

37.5 hours per week.

Rate of Pay

Salary $6,918 - $8,309 per month (Actual salary offered will be commensurate with education, experience and internal parity).
