OFFICE ADMINISTRATOR

Caribou Electric is currently seeking an experienced Office Administrator to join our Edmonton team. This is a hands-on administrative role supporting the day-to-day operations of our office, warehouse, and shop. We're looking for someone who is organized, accurate, comfortable with invoicing and financial administration, and able to independently manage changing priorities while providing excellent support to customers and the team.

In this role, you will be responsible for:

Provide reception and general administrative support while maintaining a professional, organized, and welcoming office
Set up customer accounts, create work orders, and maintain accurate customer, job, and supporting documentation
Process customer invoicing, review billing documentation, and verify banking and payment information
Investigate discrepancies between customer payments and invoices and maintain accurate financial records
Support onboarding, document control, company forms, office coordination, events, promotional items, and other branch requirements as needed

Qualifications & Skills

Required

Minimum 5 years of administrative experience, preferably within the electrical, construction, trades, industrial, or a related environment
Minimum 1–3 years of accounts receivable, invoicing, accounting support, or related financial administration experience
Strong Microsoft Office skills and ability to learn new business systems and processes
Excellent organizational and time-management skills with the ability to manage multiple and changing priorities
Strong attention to detail and accuracy, particularly when working with customer and financial information
Professional written and verbal communication and strong customer service skills
Ability to work independently, take initiative, and provide effective support across departments
Ability to handle confidential employee, customer, and financial information with discretion

Preferred

Experience with customer account setup, work orders, invoicing, and document management
Administrative experience within an electrical, construction, trades, or industrial environment
