The opportunity:
Reporting to the Senior Wealth Advisors, Senior Portfolio Managers at West Oak Family Office (https://advisor.wellington-altus.ca/westoakfamilyoffice/), the Senior Associate plays an integral role in supporting the growth and success of the practice by managing client relationships and delivering exceptional investment management, family office, and wealth advisory services to high and ultra-high-net-worth clients.
The Senior Associate serves as the primary relationship manager for a designated group of the firm’s ultra-high-net-worth clients, leads client reviews, supports growth activities, and contributes to the delivery of an exceptional, comprehensive and personalized client experience.
Key responsibilities include:
- Act as the primary relationship manager for a portfolio of high-net-worth and ultra-high-net-worth families, delivering a proactive and highly personalized experience.
- Proactively build and maintain trusted relationships, serving as a primary point of contact for a designated group of clients.
- Participate in regular client meetings, reviews, planning discussions, and family office conversations with the Senior Wealth Advisors, Senior Portfolio Managers.
- Partner closely with the Senior Wealth Advisors, Senior Portfolio Managers to deliver exceptional wealth management, investment management, and family office services tailored to each client's unique needs and objectives.
- Serve as a key point of contact for client inquiries and responsible for proactively managing all the day to day administrative, planning and tax compliance initiatives for clients to make their lives easier.
- Coordinate with internal professionals and external advisors, including accountants, lawyers, and insurance specialists in managing client affairs.
- Identify opportunities to deepen client relationships and expand family office services.
- Prepare for and coordinate client meetings, including agendas, presentations, research, documentation, and follow-up activities; attend client meetings as required.
- Work closely with internal specialists, including planners, traders, tax and estate professionals, and associates, to deliver comprehensive wealth management solutions and bespoke client services.
- Support the delivery of family office services, including coordination of trust, corporate, foundation, and estate administration activities, as well as related tax reporting and compliance requirements.
- Respond to client inquiries and provide timely information regarding account activity, balances, investment reporting, and other client service matters.
- Working closely with an Administrative Associate, coordinate and oversee account administration activities, including account opening documentation, transfers, maintenance requests, client correspondence, and digital document execution processes.
- Maintain accurate and up-to-date client records, notes, and documentation within CRM and recordkeeping systems, ensuring adherence to regulatory compliance, and firm requirements.
- Monitor and follow up on client transactions, documentation, and service requests to ensure timely processing, accuracy, and seamless client experience.
- Contribute to the continuous improvement of team operations, business practices, workflows, and client service processes, identifying opportunities to enhance efficiency and effectiveness.
- Remain current on firm policies, industry developments, compliance requirements, and regulatory changes impacting client service and wealth management activities.
- Participate in special projects and perform other duties as assigned.
The ideal candidate will possess:
- A bachelor’s degree in finance, business administration, economics or a related field of study.
- Completion of the Wealth Management Essentials (WME) course.
- A minimum of 10 years of experience in wealth management in a client support role.
- Experience managing relationships with HNW and UHNW clients.
- Strong understanding of financial markets, investment products, advanced wealth management strategies.
- Working knowledge and experience with personal, family trust and corporate financial planning.
- Previous experience supporting insurance operations, advisors, or insurance-related products and services.
- Investment Representative (IR) license.
- A commitment to fulfilling Continuing Education (CE) requirements.
- CFP (Certified Financial Planner) and/or PFP (Personal Financial Planner) designation is considered an asset.
- Other advanced wealth planning credentials are considered strong assets.
- Insurance license an asset.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, Teams, and PowerPoint.
- Experience preparing digital documentation and electronic signature packages (e.g., DocuSign).
- Working knowledge of financial planning software applications and CRM applications.
- Demonstrate a high level of accountability, reliability, adaptability, and innovation in accomplishing day-to-day work and long-term goals.
- Proven ability to take initiative and work independently; a self-starter who thrives in dynamic environments.
