Administrative Coordinator / Accounting Assistant

Gridiron Drilling Services is a growing oilfield services company specializing in conductor installation, drilling support, and related construction services throughout Alberta. We pride ourselves on delivering safe, reliable, and efficient solutions for our clients while maintaining a strong team-oriented culture.

As we continue to grow, we are seeking an organized and motivated Administrative Coordinator / Accounting Assistant to support our operations, accounting, and project teams.

Position Overview

The Administrative Coordinator / Accounting Assistant will play a key role in supporting daily office operations, assisting with accounting functions, coordinating documentation, and ensuring accurate project administration. This position is ideal for someone who enjoys working in a fast-paced environment and has experience in both administration and accounting within the oil and gas or construction industries.

Key ResponsibilitiesAdministration

Answer and direct incoming phone calls and emails.
Maintain electronic and physical filing systems.
Prepare client correspondence, reports, and project documentation.
Assist with scheduling personnel, equipment, and resources.
Coordinate travel arrangements and accommodations when required.
Maintain employee records, training certificates, and onboarding documentation.
Support management with various administrative tasks and special projects.

Accounting & Finance

Process accounts payable and accounts receivable transactions.
Prepare and issue customer invoices.
Match purchase orders, vendor invoices, and receipts.
Reconcile credit card statements and expense reports.
Assist with month-end reporting and account reconciliations.
Support payroll administration and timesheet tracking.
Maintain accurate records within Sage accounting software.
Assist with budgeting and cost tracking for projects.

Operations Support

Track field tickets, purchase orders, and job costing information.
Assist with client billing and project closeout documentation.
Maintain databases and ensure data accuracy.
Support HSE and COR documentation requirements as needed.

QualificationsRequired

Minimum 2 years of administrative experience.
Accounting experience including AP, AR, invoicing, and reconciliations.
Strong proficiency with Microsoft Office (Excel, Word, Outlook).
Excellent organizational and communication skills.
High attention to detail and ability to manage multiple priorities.
Valid Class 5 driver's license.

Preferred

Experience in the oil and gas, drilling, construction, or industrial services sectors.
Experience using Sage 50 or similar accounting software.
Familiarity with purchase order systems and job costing.
Understanding of field ticketing, project billing, and payroll processes.
Post-secondary education in Business Administration, Accounting, or a related field.
