Position Overview
As the Purchasing and Delivery Coordinator, your job is to make sure materials are quoted, ordered, tracked, received, organized, and delivered properly for each project.
You are responsible for helping make sure our jobs are ready before production starts. This means the right materials need to be ordered on time, delivered to the correct place, documented properly, and organized in the warehouse or on site.
This is a full-time, in-office position. You report to the Interior Operations Manager and work closely with our design, drafting, production, warehouse, and delivery teams.
This role is important because material delays, missing items, poor documentation, or unclear delivery schedules can directly affect production and the client experience. Your job is to help prevent those issues before they happen.

Your Main Responsibility
Your main responsibility is to make sure materials and client selections are properly quoted, ordered, tracked, received, stored, and delivered in line with our project schedules.
You are expected to stay organized, keep documents updated, communicate clearly, and make sure nothing gets missed.
You are not just placing orders. You are helping protect the production schedule, the client experience, and the company’s ability to deliver projects properly.
Your Purchasing Responsibilities
You are responsible for:
- Quoting construction materials and supplies.
- Ordering construction materials and supplies.
- Using floor plans, material lists, takeoffs, and designer boards to prepare accurate orders.
- Reviewing product specifications before placing orders.
- Making sure ordered items match the approved selections and project requirements.
- Maintaining vendor relationships.
- Researching products, materials, and alternative options when needed.
- Managing company spreadsheets to track the ordering process.
- Coordinating all orders and due dates with production start dates.
- Tracking order statuses, delivery dates, backorders, and missing items.
- Following up with vendors to confirm timelines.
- Letting the Interior Operations Manager know about delays or issues right away.
- Keeping accurate documentation for every client and project.
- Coordinating and documenting warehouse inventory and client materials.
- Saving all order confirmations, receipts, invoices, packing slips, and delivery records in the correct place.
Your Delivery Responsibilities
You are responsible for:
- Coordinating vendor deliveries directly to jobsites.
- Making sure deliveries line up with production dates.
- Coordinating vendor orders that are picked up or delivered to our warehouse.
- Planning delivery driver schedules for pickups and deliveries.
- Documenting the delivery driver’s daily schedule.
- Making sure materials are delivered to the correct jobsite or warehouse bay.
- Maintaining client bay documentation.
- Maintaining delivery documentation.
- Coordinating with the delivery driver on daily tasks.
- Helping keep the warehouse organized.
- Making sure client materials are stored safely and labelled clearly.
- Helping prevent lost, damaged, incorrect, or missing materials.
- Coordinating returns, exchanges, and warranty items when required.
- Communicating delivery issues or material concerns to the Interior Operations Manager.
Your Documentation Responsibilities
You are responsible for keeping accurate and updated records for:
- Purchase orders
- Vendor quotes
