We're on the lookout for a dynamic and energetic communicator to join the Ontario Professional Planners Institute (OPPI). Reporting to the Marketing & Communications Manager, you'll be a key player in implementing our comprehensive communications strategy and delivery of our message through a variety of channels including social media, web, and e-newsletters.

PRIMARY CONTRIBUTION
The Coordinator, Marketing & Communications is responsible for ensuring that Communications endeavours at OPPI are well-supported and the organizational and department goals are met. Combining solid technical skills with a flair for the creative, the individual in this role will use social media, e-blasts and OPPI’s website to tell our stories both internally (to our membership) and externally (to public, the media and our partner organizations)
TEAM STRUCTURE
The Marketing and Communications Department consists of director, manager, and coordinator roles.
Director
- Scope of Responsibilities: The director oversees the department, setting strategic goals and ensuring alignment with the organization's overall objectives playing a leadership role in the annual conference. They are the publisher of Place Magazine, and their focus is on long-term visioning and planning, souring of planning related content, department budgets and annual goal setting, fulfilment of internal department requests for communication support, policy development, and ensuring the department meets its strategic objectives. Direct report to Executive Director.
Manager
- Scope of Responsibilities: The manager handles the day-to-day operations of the department, acting as a project manager for all outgoing communications department requests, implementing the strategies and policies set by the director. Their focus is on editorial content, operational efficiency, project implementation, team management, and achieving short- to mid-term goals. The Manager is the owner of the annual PlanON Awards program and a key program member of the annual conference team. Direct report to Director, Marketing & Communications.
Coordinator
- Scope of Responsibilities: The Coordinator is responsible for tasks or projects within the department with a focus on website, eblasts, social media and signage and all graphic design elements. The coordinator handles technical functions for all above. Their focus is on ensuring that specific activities or projects are completed according to established policies, timelines and deadlines. Direct report to Manager, Marketing & Communications.
PRINCIPAL RESPONSIBILITIES & DUTIES
Execution/Delivery
· Regularly create, update and maintain OPPI’s communications channels, e-newsletters and website, ensuring all content and visuals resides on our website.
· Format and distribute regular e-newsletters, promoting content through various channels.
· Develop engaging content and schedule social media posts per content calendars
· Create branded assets and assist with graphics for website, e-blasts and social media posts
· Provide ongoing support for all OPPI conferences, events and engagements as required.
· Participate in departmental committees as required
· Undertake administrative tasks for the department.
Generate/Control
· Work with Manger and Director to develop timely and meaningful analytical reports for Leadership which clearly demonstrates the impact of the department’s work and progress to departmental goals.
· Foster effective collaboration with other departments to ensure seamless integration of departmental initiatives.
· Establish annual goals and metrics for yourself, using quantitative data analytics points to measure success, review on a semi-annual basis.
· Perform other duties as required to achieve organizational goals.
· Generate social media and signage program for conference
Designated Assignment
· Primary owner of the OPPI Website update and maintenance program, overseeing all related elements.
· Primary owner of design and secondary owner of content development and delivery of all elements for CPPC committee
- Primary owner of Hootsuite & Constant Contact, OPPI’s social media and email scheduling program overseeing all related elements.
REQUIRED SKILLS & QUALIFICATIONS
● Post-secondary degree/diploma in Communications, Journalism, Marketing, Public Relations.
● Preferred Minimum 2 years in a similar role
● Proficiency with Microsoft Office, SharePoint and web-based tools, WordPress, Google Analytics, Adobe Illustrator or Creative Suite, Canva, all social media platforms, Hootsuite or similar.
● Working knowledge of online newsletters, websites, social media, document management tools/platforms and communication platforms such as Survey Monkey and Constant Contact
● Document sharing and management
● Oral, written, and presentation / communications skills.
TASK & TIME ALLOCATION
● 40% social media and e-newsletter content generation
● 30 % graphic design
● 15% website maintenance
● 15% data-driven research and analytics reporting
REPORTING STRUCTURE, WORK SETTING & COMPENSATION
Reports To: Strategy & Communications Manager
Direct Reports: None
Physical / Environment: Office
80% Stationary Position, operate a computer / phone
20% Move/Traverse, attend internal and external meetings.
Hours of Work: Core business hours of the Institute are Monday to Friday, 8:00 am to 6:00 pm. Staff are expected to work 35 hours per week within these core business hours. OPPI works in a hybrid office environment with 1-2 days required in office per week.
Compensation:
● OPPI Perk Days – Closed for Christmas Holiday period and extra day off on long weekends.
● Eligible for health benefit after 3 months, including dental, vision, paramedical and medicine.
● RRSP matching program after 6 months.
● Travel reimbursed at $0.55/km.
● PTO annual allowance begins with 17 days per year

Pay: $45,000.00-$49,500.00 per year
