Airport Coordinator, YWG (Part Time)
Description:
Reporting to the General Manager, the Airport Coordinator is responsible for maintaining and developing base communication channels and strategy, managing stock order levels, base event planning, ATW onboarding and base recruiting, and dealing with invoices and debit reconciliations. The successful candidate would also be a key support for base programs, including rewards and recognition and community investment.
Key Deliverables Include:
- Monitor the inventory of station consumables (airport stock, PPE, office supplies, IT supplies, debit machines) and places orders using appropriate channels
- Acts as the base designated shipper and sends/receives all mail and packages Including Airport Mail box
- General Accounting for the base (general expenses, invoices, purchase orders, debit reconciliations etc.)
- Organize Meetings and manage boardroom and maintain cleanliness and organization of all stock rooms
- Assist with base recruiting, onboarding and new hire orientation of new team members
- Signing Authority and SME for all RAIC processes and forms. Administration of Visitor Block Passes and returning of WAA property to the Pass Office
- Manage base life moments and support base event planning
- Responsible for maintenance of Vending machine including stocking, purchasing and cash reconciliation Rewards and Recognition program development and support
- Coordinate and support with base culture and corporate events
- Assist with community outreach initiatives such as coordinating Airport tours for groups with specific needs
- Vendor contact, enrollment and processing – (locksmith, water, recycling,)
- Oversee any Administrate Social Media accounts for local base
- Assist with all visitors gaining access to office, both internal and external stakeholders and ensure visitor log and safety package are administered
- Asist DPM with all frontline uniform administration and maintenance of fit kit
- Administer and update all local Email distribution lists with appropriate personnel
- Local contact for various departments (Corporate Real Estate, Accounting etc.)
- Other duties as assigned by General Manager
Experience and Qualifications:
- Minimum of 1 year of airline experience is required, preferably in an operational environment
- 2+ plus years successful coordinator experience in a busy office environment is an asset
- Must be proficient in Microsoft Office applications (Word, Excel, PowerPoint, Forms, Teams and Outlook)
- Experience and knowledge of Microsoft SharePoint, PowerBi and Power Automate - considered a strong asset
- Experience in coordinating and managing events and communication through social media- considered a strong asset
- Must have superior communication skills both verbal and written
- Ability to organize/prioritize and efficiently manage large amounts of information and data
- Proficient experience in invoicing and other office tasks considered an asset
