Supply Chain Management within AVP Strategy Enterprise Comm is currently seeking a Full-time Limited Term Special Projects Coordinator for approximately 12 months.

The Special Projects Coordinator is a key member of the Supply Chain Management team, responsible for providing dedicated coordination and operational support to advance the SCM strategic project portfolio. This role enables the effective progression of modernization initiatives by supporting project execution, facilitating alignment across stakeholders, and ensuring project activities remain organized, on track, and responsive to evolving priorities. The position contributes to strengthening project outcomes, enhancing operational discipline, and supporting the successful delivery of SCM's strategic objectives.
The primary purpose of this position is to provide dedicated support to the Senior Director, Supply Chain Management by enabling the effective prioritization, integration, and advancement of strategic initiatives across the SCM portfolio. This role serves as a central coordination point, ensuring alignment between leadership direction and project execution by synthesizing information, preparing materials to support decision-making, and facilitating communication across stakeholders. The Special Projects Coordinator is accountable for maintaining oversight of priorities, identifying risks and interdependencies, and supporting the Senior Director in driving consistency, accountability, and momentum across complex initiatives to achieve intended strategic outcomes.
Summary of Key Responsibilities (job functions include but are not limited to):
Project Coordination and Delivery Support:

Coordinate and support day-to-day activities across multiple SCM initiatives to ensure alignment with priorities and timelines

Maintain project plans, schedules, and tracking tools to monitor progress, deliverables, and key milestones

Identify, monitor, and escalate risks, issues, and dependencies to support timely resolution

Assist with the coordination of project resources, timelines, and deliverables to maintain momentum across initiatives
Executive and Stakeholder Support:
-
Prepare high-quality briefing materials, reports, and presentations for the Senior Director to support decision-making
-
Support communication and information flow across SCM, campus partners, and external stakeholders
-
Facilitate meetings, document key outcomes, and track follow-ups and action items to ensure accountability

Provide coordination support for stakeholder engagements, workshops, and project-related activities
Documentation, Governance and Continuous Improvement:

Maintain organized, complete, and audit-ready project documentation and records

Support the development and standardization of templates, tools, and processes to improve consistency and efficiency

Contribute to continuous improvement initiatives by identifying opportunities to streamline processes and enhance effectiveness

Support governance requirements by ensuring documentation and processes align with established standards and practices
Perform additional duties as assigned to support the evolving needs of SCM projects and priorities

Qualifications / Requirements:
Education:
- A post-secondary diploma or degree in business administration, project management, or a related field is considered an asset. A combination of relevant education and progressive experience in project coordination, administration, or operational support will be considered.
Experience:

Minimum three (3) years directly related experience in project coordination, administration, or operational support within a complex organizational environment

Demonstrated ability to support multiple concurrent initiatives, with strong organizational and prioritization skills

Experience preparing reports, presentations, and briefing materials for senior leadership
-
Proven ability to track progress, manage documentation, and maintain accurate records in a structured and audit-ready manner

Experience working with cross-functional teams and engaging a variety of stakeholders
-
Strong proficiency in Microsoft Office and collaboration tools (e.g., Teams, SharePoint), with the ability to manage and organize information effectively
-
Experience supporting process improvement or change initiatives is considered an asset

Familiarity with public sector, post-secondary, or procurement environments is an asset
Skills:
- Strong organizational and time management skills, with the ability to manage competing priorities and meet deadlines

Excellent written and verbal communication skills, including the ability to prepare clear, concise, and professional materials for leadership

Strong analytical and problem-solving skills, with attention to detail and accuracy; ability to synthesize information and present insights to support decision-making
