Receptionist / Office Administrator

About Our Client
This is an excellent opportunity for an experienced Receptionist / Office Administrator who thrives in a fast-paced office environment and enjoys balancing front-desk responsibilities with a wide variety of administrative support duties to join our client for a long term temporary opportunity!
The successful candidate will be highly organized, technologically savvy, and able to quickly learn new software programs and internal systems.
Please note that reliable personal transportation is required, as the office is located in SE Calgary.
Key Responsibilities
As the Receptionist / Office Administrator, you will play a vital role in ensuring the smooth day-to-day operation of the office while creating a positive and professional experience for visitors, clients, and staff.
Reception & Customer Service
- Serve as the first point of contact for guests, visitors, and incoming callers.
- Answer, screen, and direct telephone inquiries in a professional and courteous manner.
- Greet visitors and maintain a welcoming and professional reception area.
- Respond to general inquiries and assist with directing requests to the appropriate departments.
Office Administration
- Provide comprehensive administrative support including data entry, filing, scanning, document preparation, and correspondence.
- Assist with maintaining electronic and paper filing systems.
- Support various departments with administrative projects and daily office requirements.
- Process and update information within company databases and internal software programs.
- Prepare reports, spreadsheets, and documents as required.
Office Coordination
- Sort and distribute incoming mail and courier deliveries.
- Coordinate outgoing courier shipments and packages.
- Manage office supply inventory and place orders as needed.
- Schedule boardrooms, coordinate meetings, and arrange catering when required.
- Assist with maintaining efficient office processes and procedures.
Qualifications
Education & Experience
- High school diploma or equivalent required.
- Office Administration or related post-secondary education is considered an asset.
- Minimum 2 years of experience in a reception, administrative, or office support role.
- Experience working in a busy office environment with multiple priorities.
Technical Skills
- Intermediate Microsoft Office skills, including Outlook, Word, Excel, and Teams.
- Strong computer skills with the ability to quickly learn new software, databases, and internal systems.
- Accurate keyboarding and data entry skills.
- Experience with multi-line phone systems is an asset.
- Comfortable working with technology and adapting to changing processes and programs.
