Full job description

Overview
We are seeking a highly organized and proactive Personal Assistant/Administrator to support our executive team. This role involves managing daily administrative tasks, coordinating schedules, and ensuring smooth office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency with various office software tools. This position offers an opportunity to work in a dynamic environment where attention to detail and professionalism are highly valued.

Responsibilities

Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace
Handle incoming calls with professional phone etiquette and direct inquiries appropriately on multi-line phone systems
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Assist with bookkeeping tasks using QuickBooks and other financial software
Prepare correspondence, reports, and presentations utilizing Microsoft Office applications
Coordinate meetings, appointments, and travel arrangements efficiently
Manage front desk duties, including greeting visitors and handling mail distribution
Utilize DocuSign for electronic document signing and management
Support administrative projects such as organizing files, maintaining records, and supporting office operations with clerical experience

Experience

Prior office or administrative experience preferred, including clerical or front desk roles
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
Experience with QuickBooks and basic bookkeeping is a plus
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Excellent typing speed and data entry accuracy
Demonstrated customer service skills with professional communication abilities
Knowledge of multi-line phone systems and office equipment operation
Attention to detail in proofreading and document management is essential

Pay: $20.00-$42.70 per hour
