Footbridge Centre for Integrated Orthopaedic Care is a fast paced, multi-disciplinary, high volume orthopaedic and sports medicine clinic - home to several surgeons, specialist physicians, physiotherapists, imaging and orthotics/bracing specialists. Footbridge Patient Care Assistants ensure that our patients feel welcomed in our Centre while keeping patients health confidential. This position requires a cheerful, bright, polite individual who is always eager to help and thrives on a busy work environment. Along with being organized, able to prioritize tasks and problem solve. The role requires greeting office visitors and managing patient intake. Answering, screening and routing incoming calls and email enquires. Scheduling patient appointments. Assisting patients with completing necessary forms and documents. Keeping a clean and calm reception area. Sorting and distributing mail.
Responsibilities
- Welcomes and greets all patients and visitors, in person, via email or over the phone
- Looks for opportunities to provide exemplary patient care and exceed patient’s expectations, patient centric approach
- Answers and routes incoming telephone calls in a polite, professional and cheerful manner,
- Message Triage: route and respond to incoming/outgoing messages via email, fax, phone
- Registers new patients and updates existing patient demographics by collecting detailed patient information,
- Schedules patient appointments using computerized system,
- Processes and records billing to insurance companies, collects private payments via cash, debit, credit card and issues receipts,
- Facilitates patient flow by notifying Patient Care Coordinators of patients’ arrival, being aware of delays, and communicating with patients and clinical staff,
- Facilitates the tracking and monitoring of the location of all staff
- Communicates wayfinding
- Keeps the reception area clean and organized,
- Performs basic accounting tasks, and generates administrative reports,
- Picks up and sort’s mail
- Collaborator: work with other members of the care team (i.e.: physicians, patient care coordinators, orthopaedic technician, radiology technician) to facilitate expedient patient care.
- Assists with some medical equipment fitting; braces, compression stockings, cryo machine
- Acts calmly in a high-pressure environment
- Provides empathy and understanding when dealing with patients who are not feeling well or are anxious about their health
- Attend to patient behaviors in the waiting room by listening, supporting, validating and in case of disruptive behaviors employing de-escalating techniques
- Performs other related duties as required
- Supports the Patient Care Coordinators in other administrative duties and tasks where needed; Central Triage administrative tasks, OR administrative tasks.
Skills
- Previous experience working in a medical office office setting preferred
- Familiarity with medical terminology and procedures is a plus
- Knowledge of electronic medical records (EMR) systems
- Strong communication skills, both verbal and written
- Excellent customer service skills and ability to handle patient inquiries or concerns with professionalism and empathy
- Ability to multitask and prioritize tasks in a fast-paced environment
- Familiarity with phone systems and ability to handle high call volumes

This is a full-time position and requires an individual who can work flexible hours including opening shifts 6:45-2:45, day shifts 8:00-4:00 and evening close 11:30-7:30 with some Saturdays from 7:30-3:00. We do a 37.5-hour work week.
