JOB SUMMARY
The Pharmacy Manager is responsible for the overall leadership, clinical excellence, and day-to-day operational management of the closed-door, retirement home pharmacy. This role combines the full scope of a licensed Pharmacist with strategic oversight of staff, workflows, compliance, and patient care quality. The Pharmacy Manager serves as the primary point of accountability for pharmacy performance and acts as the key liaison between the pharmacy team, management, healthcare partners, and the patients and communities Dominion Pharmacy serves.
LEADERSHIP & MANAGEMENT
Team Leadership
- Lead, mentor, and support all pharmacy staff including Pharmacists, Registered Pharmacy Technicians, and Pharmacy Assistants
- In partnership with the General Manager, hire and train operational and clinical staff
- Oversee scheduling, workload distribution, and staffing to ensure adequate coverage and efficient daily operations
- Conduct performance reviews, set individual goals, and provide ongoing coaching and feedback to team members
- Identify training and professional development needs and coordinate learning opportunities for staff
- Foster a collaborative, respectful, and positive workplace culture aligned with Dominion Pharmacy’s values
- Address staff concerns, conflicts, and performance issues in a fair, timely, and documented manner in collaboration with Human Resources
Operational Management
- Oversee the operations of a full-service retirement home pharmacy utilizing automation to package multi-dose strip packs as well as manual filling of non-strip medications, to ensure efficient and accurate daily dispensing, workflow management and quality control processes
- Monitor and manage pharmacy inventory, ordering, returns, and shrinkage to optimize stock levels and minimize waste
- Implement and enforce standard operating procedures (SOPs) and ensure all staff are trained and compliant
- Partner with central fill compounding pharmacy to provide compounds for residents as required
- Identify opportunities to improve operational efficiency and report recommendations to senior management
- Oversee the safe receipt, storage, and handling of all medications including narcotics and controlled substances in accordance with applicable legislation
- Monitor Key Performance Indicators (KPIs) including prescription volume, dispensing accuracy, and revenue targets
Account and Relationship Management
· In partnership with the General Manager, build and maintain business relationships with the homes’ and corporate management
· Attend quarterly business meetings as required
· Prepare metrics reporting on an adhoc and quarterly basis, including but not limited to Drug Utilization Reviews, Medication Incident reviews, Audit reports, and other medication system metrics as identified
PATIENT CARE
- Provide optimal pharmaceutical care and service for all patients, including residents in retirement home and long-term care settings served by Dominion Pharmacy
- Greet patients, residents, and healthcare staff in a professional and welcoming manner, building trust-based relationships by name where possible
- Make educated, evidence-based decisions during medication reviews and consultations, clearly documenting all decisions and discussions for continuity of care
- Actively seek opportunities to provide expanded pharmaceutical services through POP systems and health programs for the homes (remotely, with onsite support at the homes from time to time as required)
- Engage in regular medication reviews (MedsChecks) to build rapport, ensure compliance, and improve patient health outcomes
- Collect and maintain up-to-date patient records including lab results, clinical measures, and intervention notes; use Clinical Viewer and other sources to ensure completeness of records
- Identify drug therapy-related problems (e.g., inadequate dosage, adverse interactions) and provide appropriate pharmaceutical interventions
- Initiate or adjust prescription-based drug therapy and ensure timely follow-up with patients and care teams
- Collaborate daily with nursing staff, physicians, and other healthcare professionals to ensure continuity of care
- Coordinate daily with pharmacy team to ensure timely completion of clinical workflow items in Kroll, using Kroll paperless workflow
- Adapt prescriptions to improve patient care and convenience with proper consent and understanding
- Provide effective prevention and management for any medication incident or adverse event; lead root cause analysis and corrective action
- Continuously seek quality improvements and report ideas to management
- Enforce and comply with the company’s Confidentiality Agreement and PHIPA requirements
COMPLIANCE & REGULATORY
- Maintain a valid Ontario practice licence in good standing with the Ontario College of Pharmacists (OCP) and ensure all pharmacists under supervision hold valid licences
- Ensure the pharmacy operates in full compliance with the Pharmacy Act, Drug and Pharmacies Regulation Act, Regulated Health Professions Act, NAPRA standards, and all applicable federal and provincial legislation
- Maintain the Designated Manager (DM) designation or support the DM and fulfill all associated regulatory obligations
- Ensure narcotics and controlled substances are handled, stored, recorded, and reconciled in strict accordance with Health Canada and OCP requirements
- Prepare for and respond to OCP inspections, accreditation reviews, and internal audits
- Report adverse drug reactions, medication incidents, and near-misses in accordance with regulatory and internal reporting requirements
QUALIFICATIONS & SKILLS
- Bachelor of Pharmacy (B.Pharm.) or Doctor of Pharmacy (Pharm.D.) from an accredited institution
- Valid Ontario practice licence in good standing with the Ontario College of Pharmacists (OCP)
- Designated Manager (DM) designation or eligibility to obtain DM designation preferred
- Minimum 3–5 years of pharmacy practice experience, with at least 1–2 years in a supervisory or leadership capacity
- Knowledge of Kroll; experience with multi-dose compliance packaging and automated dispensing systems is required
- Exceptional patient and customer service skills
- Excellent clinical decision-making skills, including under pressure
- Strong leadership, coaching, and team-building skills with a demonstrated ability to develop staff
- Strong communication skills and the ability to build trust-based relationships with patients, staff, and healthcare partners
- Excellent listening, empathy, and problem-solving abilities
- Strong attention to detail and the ability to manage multiple priorities simultaneously

Pay: From $60.00 per hour
