Position Summary:
As a Lead Medical Office Assistant at WELL Health Clinic, you’ll be an essential part of the patient care experience while also overseeing the daily operations of the clinic. Working closely with physicians and clinic staff, you will help facilitate smooth clinic operations, coordinate staffing and schedules, ensure compliance with clinic policies, and provide outstanding service and support to patients. This role requires strong multitasking abilities, leadership skills, attention to detail, and a commitment to delivering compassionate care in a fast-paced, clinical setting.
What you will be doing:
Medical Office Assistant Duties

Greet and register patients, verify insurance, and process payments

Schedule and confirm appointments, managing patient flow throughout the day

Escort patients to and from exam rooms and clean rooms between appointments

Maintain accurate and up-to-date electronic medical records
-
Answer phones, respond to inquiries, and manage clinic correspondence and faxes

Assist with minor clinical tasks and support physicians as needed

Handle billing tasks and submit insurance claims

Ensure exam rooms and administrative areas are clean, stocked, and organized

Contribute to a welcoming, efficient, and patient-focused clinic environment
Operations & Clinic Management Responsibilities

Keep physician schedules accurate and up to date
-
Manage staff vacation requests and ensure appropriate staffing coverage

Assist with preparing and participating in staff meetings

Order and track clinic inventory to ensure adequate supplies

Coordinate with the property management company for building-related issues or maintenance needs

Address and resolve minor patient or staff concerns in a timely and professional manner

Monitor workflow and adjust staffing or scheduling to maintain operational efficiency
You have:

Previous medical office experience

Strong organizational and communication skills

Comfort working independently and as part of a team

High school diploma or the equivalent

Attention to detail and ability to plan, organize, and prioritize work.

Ability to work varying shift patterns as needed by the clinic (including evenings and weekends)

Experience as an MOA or MOA programs certification is an asset.

Experience with EMR system OSCAR and a good understanding of MSP billing are assets.
