Full job description

Astra Medical Clinic is seeking a highly organized, detail-oriented, and proactive Medical Office Administrator to join our growing healthcare team. This is an excellent opportunity for someone who enjoys working behind the scenes to ensure the smooth operation of a busy medical practice while supporting physicians and senior management.

Position Details

Position: Part-Time Medical Office Administrator
Schedule: Mondays, Wednesdays, and Fridays
Hours: Approximately 15–20 hours per week (hours may vary slightly based on clinic needs)

Key Responsibilities

Manage physician billings submitted to the Ontario Ministry of Health (OHIP).
Process and manage third-party and private insurance billings.
Reconcile payments, remittances, and cheques to ensure billing accuracy.
Download, organize, and maintain financial and operational reports.
Monitor and manage inventory of clinical and medical supplies.
Manage vaccine inventory received from Public Health, including transporting vaccines between designated locations as required (a reliable vehicle is required for this responsibility).
Coordinate meetings with pharmaceutical representatives and clinic staff as directed by management.
Provide administrative support to senior management and assist with day-to-day operational tasks.
Maintain accurate records while ensuring confidentiality and compliance with privacy regulations.
Support the clinic team with additional administrative duties as required.

Qualifications

Previous experience in a medical office or healthcare administrative setting is preferred.
Experience with OHIP physician billing is considered a strong asset.
Familiarity with third-party and private insurance billing is an asset.
Strong attention to detail and excellent organizational skills.
Proficiency with Microsoft Office (Excel, Word, Outlook) and the ability to learn new software quickly.
Excellent verbal and written communication skills.
Ability to prioritize multiple tasks and work independently in a fast-paced environment.
Professional, reliable, and committed to maintaining patient confidentiality.
Valid Ontario driver's licence and access to a reliable vehicle are required for vaccine transportation.
