Job Output
Reporting to the Sr Logistics Coordinator, the Shipping/Receiving Coordinator is responsible for coordinating shipping and logistics activities, support administrative documentation processes, and maintain essential office operations. Ensure all outgoing shipments are accurate and compliant, customer communication is handled professionally, and internal documentation and office workflows remain organized and efficient.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Arrange and coordinate all US/Canada project shipments, including customs requirements and documentation.
Select carriers and shipping methods based on cost, timelines, and customer requirements.
Approve and process shipping invoices and customs invoices.
Maintain and update the Shipping Matrix and related tracking tools.
Communicate with customers regarding shipment timing, tracking, and documentation.
Process and ship design samples, architectural kits, and marketing materials as required.
Manage outgoing mail and courier services, including FedEx notifications.
Advise production and management of incoming and outgoing deliveries.
Maintain organized filing systems, archives, and shredding schedules.
Answer incoming calls when required and triage customer or vendor inquiries professionally.

Qualifications

Strong understanding of shipping procedures, logistics coordination, and customs documentation.
Experience in export/import procedures required
Ability to manage high volumes of shipments with attention to detail.
Clear and professional communication skills with customers, suppliers, and internal teams.
Proficiency in Microsoft Office (Excel, Word, Outlook) and digital filing systems.
Strong organizational skills and the ability to manage multiple priorities.
Ability to work independently and make routine shipping decisions.
Strong attention to detail and accuracy.
Ability to prioritize tasks under time-sensitive conditions.
Customer service orientation for communicating with customers and vendors.
Ability to support multiple managers and departments concurrently.
