Professional Office Administrator Wanted

Blue Brothers® Services Inc. is a rapidly growing service company operating across Western Canada. We specialize in air duct cleaning, dryer vent cleaning, furnace cleaning, commercial kitchen exhaust systems, and commercial/residential property services.

We are seeking a highly organized, professional, and dependable Office Administrator to join our team in a full-time, in-office role.

This position is a critical part of our daily operations. The right candidate will be responsible for helping manage office administration, customer communication, technician scheduling, dispatching, invoicing, payroll coordination, and supporting with day-to-day business operations.

We are looking for someone who is detail-oriented, efficient, confident in communication, and capable of handling a fast-paced work environment with professionalism.

Key ResponsibilitiesOffice Administration

Answer incoming phone calls professionally and efficiently
Respond to customer emails, service inquiries, and follow-up requests
Schedule service appointments and manage daily bookings
Confirm upcoming appointments with customers
Prepare and send estimates and follow up on outstanding quotes
Maintain organized office operations and administrative systems

Dispatch & Scheduling

Coordinate technician schedules and daily dispatching
Manage route planning and service timelines
Communicate schedule updates with both customers and field technicians
Handle urgent schedule adjustments and service changes promptly
Ensure smooth day-to-day operational flow between office and field teams

Invoicing & Accounts Support

Prepare and send customer invoices
Follow up on outstanding balances and overdue payments
Maintain accurate billing records and customer account details

Payroll & Internal Administration

Track employee hours and payroll submissions
Coordinate payroll information with accounting
Monitor commissions, bonuses, and technician upsells
Maintain employee records and internal reporting systems

Qualifications

Previous experience in office administration, dispatching, scheduling, or operations management preferred
Strong organizational skills and attention to detail
Excellent verbal and written communication skills
Professional phone etiquette and customer service skills
Ability to work independently and manage multiple priorities
Strong problem-solving ability and decision-making skills
High level of reliability, professionalism, and accountability
