The Program Delivery Specialist (PDS) supports strategic and execution objectives of program design and program delivery by interpreting and operationalizing program delivery requirements for all Banff Centre programming assignments and portfolios in the Leadership area.
Working closely with Program Managers and Directors, the PDS provides the logistical, administrative, and operational support required for the delivery cycle of all Banff Centre programs. The PDS will interpret program needs – technical, creative, classroom design, informational design; and works closely with internal and external team(s) to secure and schedule required resources.
The PDS works with all departments, clients, teams and faculty in facilitating, and organizing program delivery requirements, and in ensuring accuracy and excellence in all learning materials, platforms and resources (print and digital).
Reporting to the Director of Program Operations, Leadership, below are some key accountabilities:

In collaboration with Program Managers and Directors, Production and Presenting, PDS provides logistical and administrative support in the planning and organization of program-related events, such as faculty and participant presentations, readings, open studios, performances, happenings, concerts and theatre productions, amongst other activities.

Works with all departments in assessing leadership program and special project needs. Provides program delivery assessments, adjudication support, and plans and executes the day-to-day program delivery requirements.

In collaboration with IT, oversees setup and operation of technology, software and digital platforms used for program delivery, while ensuring they are aligned with Programming intentions and Banff Centre policies/protocols

Provides leadership to the team in the realization of program delivery needs, such as digital and print materials, digital platforms, and creative, cultural or ceremonial sessions.

Working closely with program managers/directors, responsible for the curation of the faculty and participant experience in digital and on-campus workshops and learning spaces required for each program; plans, executes and troubleshoots all set-up requirements to achieve and maintain a high quality experience.

Gathers and communicates all details, including logistical and artist care requirements, via Group Resume Form (GRF) and Banquet Event Orders (BEOs) with all Banff Centre departments. Verifies bedroom and venue bookings for assigned programs – notifies program manager or director of any problems and provides potential solutions where possible.

Communicates and maintains program schedules, created by faculty and Program Managers and Directors, throughout programs.

Completes administrative tasks in service of program delivery associated with sourcing, procurement, purchasing, payments and financial reconciliation. Prepares and processes purchase orders, payment requests, cheque requisitions, petty cash vouchers, reimbursement and expense claims, A/R adjustments for program expenses.

Acts as a key liaison with program participants, faculty and special guests, facilitates communication with other Banff Centre departments.

Provides exceptional customer service delivery and demonstrates the ability to find solutions to problems when dealing with internal or external clients, artists / participants, staff, special guests, and contractors.

5 or more years’ experience in project or event production environments or related experience preferably in a post- secondary or client service environment

Completion of University degree in related discipline such as Humanities, Arts Administration or equivalent and transferrable experience

Advanced InDesign and informational design skills

Project/production scheduling skills are essential

Demonstrated ability to work independently and collaboratively with teams, to lead by example, to problem-solve creatively

Demonstrated experience working with a broad range of artist / participants and faculty

Effective under pressure with the adaptability to shift priorities

This position is subject to a rotating schedule and will include evenings and weekends. This rotating schedule is dictated by programming and programming event activity.

In accordance with CUPE 4318, this is a unionized, salaried support staff position, subject to a 6 month probation period.

The annual salary for this position is between $61,464.00 and $64,521.60, depending on experience, based on working 40 hours per week.
