Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as an Admin Assistant. As an Admin Assistant, you will play a crucial role in ensuring the smooth operation of our office and providing support to various departments.
Key Responsibilities (Not Limited To):
- Answer, screen, and direct incoming phone calls using a multi-line telephone system
- Greet and assist visitors in a courteous and professional manner
- Respond to emails and correspondence in a timely manner
- Handle incoming and outgoing mail, faxes, and packages
- Provide general information to customers and direct inquiries appropriately
- Maintain cleanliness and organization of the reception area, office, and training rooms
- Perform general clerical and administrative duties as requested
- Create and submit construction proposals and tenders
- Review agreements and purchase orders, including startup and ongoing documentation
- Correspond with clients regarding proposals, agreements, and purchase order retrieval
- Develop and maintain organized electronic and paper filing systems
- Prepare, format, proofread, and distribute correspondence, memos, reports, and other documents
- Provide administrative support to management and other departments as needed
- Manage calendars, schedule appointments, and coordinate meetings and conferences
- Assist with special projects and events as assigned
- Purchase office supplies and maintain office inventory
- Provide technical assistance with computer hardware, software, and office IT matters
- Assist with company fleet related matters
Qualifications:
- 2–5 years of experience in an administrative or office support role, preferably within the construction industry
- Degree, diploma, or certificate in Business Management, Office Administration, or a related field
- Experience supporting construction projects, including project estimation and client/builder relations
- Knowledge of construction billing practices, such as progress draws, and general construction scope of work
- Strong organizational and time-management skills with the ability to prioritize multiple tasks effectively
- Excellent written and verbal communication skills with strong attention to detail
- Proficiency in computer software and applications, including the MS Office Suite
- Ability to work independently and collaboratively as part of a team, demonstrating a proactive and positive attitude
- Possession of a valid G driver’s license and access to a vehicle
