Full job description

We are seeking a professional, organized, and customer-focused Front Desk Receptionist to join our autobody shop team. This person will be the first point of contact for customers and will play a key role in creating a positive experience while supporting daily front office operations. In addition to managing the front desk, this role will assist with invoicing, billing, and repair estimate coordination.

Key ResponsibilitiesCustomer Service and Front Desk Support

Greet customers in person and by phone in a friendly and professional manner
Answer incoming calls, respond to questions, and route messages to the appropriate team members
Schedule appointments for vehicle drop-off, inspections, and repair updates
Maintain a clean, organized, and welcoming reception area
Provide status updates to customers as directed by technicians or shop management

Administrative and Office Support

Enter and maintain accurate customer, vehicle, and repair information in shop management systems
Prepare, review, and process invoices for completed work
Assist with billing, payment collection, and documentation of transactions
Support preparation of repair estimates by gathering vehicle and customer information
Coordinate with technicians, estimators, and insurance representatives to ensure accurate paperwork
File, scan, and organize repair orders, invoices, and related records
Track outstanding balances and help follow up on unpaid invoices when needed

Estimating and Repair Coordination Support

Assist in preparing preliminary repair estimates based on shop procedures
Communicate estimate details, approvals, and next steps to customers
Help document supplemental repairs and update records as repairs progress
Verify that billing and estimate information aligns with completed services and parts used

Qualifications

High school diploma or equivalent required
Previous receptionist, front office, customer service, or administrative experience preferred
Experience in an autobody shop, automotive repair shop, dealership, or similar environment preferred
Familiarity with invoicing, billing, and estimate preparation is strongly preferred
Proficiency with computers, phone systems, email, and standard office software
Experience with shop management, estimating, or point-of-sale systems is a plus

Strong organizational and multitasking abilities
Ability to handle sensitive or upset customers professionally
Basic math and data entry skills
Ability to work efficiently in a fast-paced environment

Physical and Work Environment Requirements

Ability to sit, stand, and move between the front desk and shop office throughout the day
Ability to occasionally lift office supplies or files
Comfortable working in an automotive shop environment with frequent customer traffic
