Your Opportunity:

The Department of Surgery is seeking an experienced, adaptable, and proactive Administrative Support IV to help with clinics and OR bookings. Reporting to the Administrative Services Manager, this role works with minimal supervision and collaborates closely with Alberta Health Services (AHS) staff, surgeons, administrative teams, patients and families, referring providers, and program stakeholders. The successful candidate demonstrates strong organizational skills, clinical systems knowledge, and the ability to transition efficiently between multiple offices and priorities. As a Department of Surgery administrator, you will support complex scheduling, referral processing, waitlist management, and patient communication across multiple practices. This role requires flexibility, sound judgment, critical thinking, and professionalism in a fast-paced clinical environment. Key Responsibilities-Coordinate complex and competing schedules, including operating rooms, clinics, call schedules, research meetings, educational rounds, conferences, and time off. Prioritize urgent scheduling requests and manage patient appointments, referrals, and waitlists. Serve as the primary point of contact for patients and referring providers, providing timely, empathetic, and accurate information. Maintain patient records and files in compliance with privacy and confidentiality requirements. Respond to patient inquiries via phone, email, and in person, and collaborate on invoice processing and related billing tasks as required. Identify opportunities for process improvement to enhance administrative efficiency and workflow. Provide guidance or informal mentorship to junior administrative staff or trainees, as required.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Completion of a Medical Office Assistant or Unit Clerk program is required. A degree related to healthcare studies will also be considered. No other education equivalencies will be accepted. Minimum of three years of administrative experience in a medical or surgical setting of similar size and complexity. Recent experience supporting General Surgery or surgical specialties is required. Demonstrated experience managing referrals, waitlists, and high-volume patient scheduling. Advanced knowledge of Connect Care and other electronic medical record systems. Intermediate to advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Proven ability to manage competing priorities, frequent interruptions, and rapid transitions between workflows. Strong critical thinking and problem-solving skills, with the ability to identify issues and escalate appropriately. Excellent written and verbal communication skills with a strong attention to detail. Ability to maintain professionalism, discretion, and empathy in high-pressure or fast-changing clinical environments. Commitment to patient-centered care, teamwork, and continuous quality improvement

Preferred Qualifications:

Recent experience working with oncology or complex patient populations is required.
