Job Description:

We are seeking a dedicated and dynamic Banquet & Catering Coordinator to join our team. The ideal candidate will be responsible for managing and coordinating all aspects of catering services and sales operations, ensuring the highest level of service and satisfaction for our guests. This role involves close collaboration with the Hotel Sales department to address inquiries and secure guest satisfaction by performing clerical and administrative duties related to the catering department.

Key Responsibilities:

Handle catering booking inquiries via phone, online platforms, or in person, and exercise decision-making skills to address caller requests effectively.
Prepare and present proposals and contracts to clients, including related documents such as payments, deposits, and menus.
Collaborate with the kitchen and service staff to ensure seamless event execution.
Ensure the accuracy of menus, pricing, and terms & conditions.
Provide exceptional customer service, promptly resolving any issues or concerns.
Distribute catering contracts, menus, and instructions to the appropriate personnel to ensure timely processing of time-sensitive information, including verifying payments, deposits, and credit card and billing information for accuracy.
Follow up on special banquet event arrangements to ensure compliance with Hilton brand standards.
Monitor and manage budgets to ensure profitability and cost-effectiveness.
Maintain accurate records of all catering and sales activities. Organize and file documents in appropriate binders to maintain essential records used in department operations. Ensure all final invoices are accurate and sent out to guests in a timely manner.
Perform clerical and administrative duties related to the catering department and the restaurant. This includes working with various computer programs, including PMS (Opera) and Microsoft Office, and creating signs and documents in Excel and Word.
Perform sales-related duties such as cold calls and reconnecting with old clients to renew business. Conduct spot checks on competitor facilities online and through their websites.
Maintain a flexible schedule, being present at the start, during, and end of meetings and events to ensure client requirements are met and additional assistance is offered.
Occasionally create posters and flyers in Canva, ensuring they adhere to our branding standards.
Perform other business related duties as required.

Qualifications:

Minimum 1 year of experience in catering, sales, or event coordination.
Strong organizational and time management skills.
Excellent communication and interpersonal skills. Fluent in English (spoken, written, and understanding). Proficiency in another language is an asset.
Ability to work well under pressure and handle multiple tasks simultaneously.
Proficiency in Microsoft Office and event management software.
A genuine passion for food and hospitality.
Reliable attendance and punctuality, coupled with a strong work ethic.
A team player mindset, with a willingness to assist other team members as needed.
Strong customer service attitude, consistently maintaining a professional appearance and manner.
