Job Summary

We are seeking a proactive and organized Office Administrator to join our fast growing business! Duties

Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and providing exceptional customer service with professional phone etiquette
Perform data entry tasks accurately using tools like Microsoft Office, Google Workspace, and CRM system to maintain up-to-date records
Oversee filing systems—both digital and physical—to ensure documents are organized, accessible, and properly maintained
Support bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar software
Assist with administrative projects including proofreading documents, scheduling appointments, and coordinating meetings
Provide customer support by addressing inquiries promptly and professionally via phone or email
Maintain office supplies inventory and coordinate with vendors to ensure smooth daily operations

Qualifications

Proven clerical experience with strong office experience in administrative roles
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with QuickBooks or other bookkeeping software is highly desirable
Excellent data entry skills with high accuracy and attention to detail
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Experience working in a medical or dental office setting is a plus, including familiarity with front desk duties such as patient scheduling and medical record management
Exceptional customer service skills combined with professional phone etiquette and effective communication abilities
Ability to handle sensitive information discreetly while maintaining confidentiality
Basic computer skills including typing, proofreading, filing, and managing multi-line phone systems
