Job Summary

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude, organizational skills, and ability to handle multiple tasks efficiently will help create a professional and friendly environment for visitors, clients, and team members alike.

Duties

Greet visitors, clients, and vendors warmly and professionally, ensuring they feel welcomed and valued
Manage multi-line phone systems, screen calls, and direct inquiries to appropriate personnel with excellent phone etiquette
Handle appointment scheduling and coordinate meetings using Microsoft Office and Google Workspace tools
Perform data entry tasks accurately into various systems such as QuickBooks and other office software
Maintain organized filing systems—both physical and electronic—to ensure easy retrieval of documents
Assist with clerical duties including proofreading correspondence, managing mail distribution, and preparing reports
Support administrative tasks such as bookkeeping, invoicing, and basic record keeping in a fast-paced environment

Qualifications

Proven experience in office administration or receptionist roles, preferably in a mechanical shop setting.
Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and familiarity with QuickBooks
Excellent organizational skills with the ability to prioritize tasks efficiently
Demonstrated customer service skills with a friendly demeanor and professional communication style
Experience with multi-line phone systems and phone etiquette standards
Capable of performing data entry accurately while maintaining attention to detail
Ability to type quickly with high accuracy; proofreading skills are highly valued
