Carling Motors is seeking a highly organized and detail-oriented Parts Inventory Coordinator to support our Volvo, Mazda, and Polestar operations. This position is responsible for maintaining inventory accuracy, coordinating parts ordering and receiving activities, managing manufacturer returns, tracking backorders, and ensuring our service and parts teams have the information they need to support our customers efficiently. This is an excellent opportunity for someone with experience in inventory control, supply chain management, logistics, purchasing, warehouse operations, or automotive parts administration who enjoys problem solving, process improvement, and working with data.
About the Role
The Parts Inventory Coordinator plays a critical role in protecting one of the dealership's largest assets—our parts inventory. Working closely with the Parts Manager, Service Advisors, Technicians, Warranty Administration, and manufacturer representatives, this position helps ensure that inventory is accurate, organized, and available when needed. This role is ideal for someone who enjoys creating order from complexity, following up on details, and improving processes.
Key Responsibilities
- Maintain accurate inventory records across Volvo, Mazda, and Polestar operations
- Perform regular bin checks and cycle counts
- Investigate and resolve inventory discrepancies
- Assist with annual physical inventory counts
- Monitor inventory accuracy and identify process improvements
- Process and monitor daily manufacturer parts orders
- Receive and verify incoming shipments
- Ensure parts are properly identified, labeled, and stored
- Coordinate special orders and seasonal inventory programs
- Monitor manufacturer purchasing requirements and targets
- Manage monthly returns of aging inventory
- Track and process manufacturer core returns
- Identify and submit shipping damage claims within required timelines
- Ensure return credits are received and properly documented
- Track manufacturer backorders
- Follow up with suppliers and manufacturer representatives
- Escalate critical parts shortages when required
- Communicate order status updates to Service Advisors and Management
- Maintain clean, organized, and efficient parts storage locations
- Assist in developing and improving inventory control processes
- Support reporting and inventory analysis activities
- Help ensure consistent inventory procedures across all brands
Qualifications
