Our client, an established and reputable vertically integrated firm holding premium assets globally, are looking for a Tenant Relations Coordinator to join their team at an award-winning luxury multifamily property in Calgary. The successful candidate will support daily tenant engagement initiatives within the community. Reporting to the Property Manager, this role serves as a key point of contact for residents, guests, and prospective tenants, delivering a high standard of service and helping foster a welcoming, community-oriented environment.
The ideal candidate is proactive, professional, and passionate about creating positive resident experiences. They possess strong communication skills, a hospitality mindset, and the ability to build meaningful relationships while effectively addressing concerns and coordinating community activities.
Key Responsibilities:

Serve as a primary contact for residents, guests, and visitors, providing exceptional service and support.

Respond promptly to resident inquiries, requests, and concerns through phone, email, written correspondence, and in-person interactions.

Investigate and resolve resident issues in a professional and timely manner, escalating matters to management when necessary.

Conduct follow-up communication to ensure concerns have been addressed satisfactorily and residents remain informed throughout the resolution process.

Maintain detailed records of resident interactions and prepare regular reports identifying trends, feedback, and opportunities to enhance resident satisfaction.

Build and maintain positive relationships with residents while ensuring service expectations are consistently met or exceeded.

Leverage knowledge of local amenities, services, restaurants, entertainment venues, and community resources to provide personalized recommendations and support.

Coordinate and communicate community announcements, events, and property updates through resident portals, notices, and other communication channels.

Plan, organize, and execute resident programs, events, and engagement initiatives that strengthen community involvement and resident retention.

Identify opportunities to improve service delivery, resident engagement, and overall community experience.

Promote a welcoming and customer-centric environment that contributes to positive resident feedback and reputation management efforts

Assist with application processing and approval procedures in partnership with the leasing team.

Monitor application progress and ensure all required documentation and approvals are obtained.

Support prospective residents by providing information regarding available suites, amenities, and community offerings.

Conduct follow-up communications with prospective residents, including calls and emails, and provide pricing or leasing information as required.

Assist with overflow leasing inquiries and virtual or phone-based consultations.

Coordinate resident notifications and scheduling related to preventative maintenance initiatives.

Support property operations through the oversight and coordination of contracted service providers, including cleaning services, security personnel, elevator maintenance, window cleaning, valet services, and other vendors.

Contribute to the overall efficiency and success of the property management team by assisting with additional duties as assigned.
Key Qualifications:

High school diploma or equivalent required; post-secondary education is considered an asset.

Minimum of two years of experience in a customer service, resident services, hospitality, property management, or related environment

Demonstrated experience managing customer concerns and resolving service-related issues effectively.

Hospitality, concierge, residential, or luxury service experience is highly desirable.

Strong verbal and written communication skills with a professional and approachable demeanor.

Ability to work independently, prioritize competing demands, and exercise sound judgment.

Proficiency with Microsoft Office applications, including Outlook, Word, and Excel, along with experience using property management or CRM software.

Strong organizational skills and attention to detail.

Reliable attendance and flexibility to work evenings, weekends, and occasional overtime as operational needs require.

Ability to conduct property inspections, including common areas, exterior grounds, parking facilities, and building systems areas.

Ability to navigate stairs and multiple levels of a residential property.

Capable of responding appropriately during emergency situations and recognizing visual and auditory alarms.

Ability to perform the physical demands associated with a fast-paced residential environment.
Compensation:
The successful candidate will receive an annual base salary up to $67,000 dependent on experience. In addition, they will receive a benefit package, RRSP matching and contributions, 3 weeks vacation, and growth potential within a culture of excellence.
