Job Title: Shipping and Receiving Office Coordinator
Reports to: Customer Success Manager
Location: Brantford, ON
Shift: Monday-Friday 3:00PM – 11:30PM
Wage: $22.00 Hourly
Position Summary:
The Shipping and Receiving Office Coordinator will be primarily responsible for scheduling inbound carrier loads, updating inbound database with appointed times for carrier arrivals, maintaining documentation, directing truck drivers, handling carrier/customer paperwork and answering emails from carriers and customers.
The Shipping and Receiving Office Coordinator is required multi-task to keep up with the pace of the business. Shipping and Receiving Office Coordinator will provide support to the Warehouse Supervisor and to management’s commitment to food safety, quality and compliance to appropriate laws, regulations, and standards.
Responsibilities
The responsibilities for this position include but are not limited to the following:
- Greet drivers upon arrival at the facility, working closely with them to ensure they receive exceptional customer service. This includes signing in/out, collecting and reviewing paperwork, etc.
- Receipt entry for all inbound loads.
- Confirm all orders and receipts in a timely manner.
- Work on multiple systems/programs throughout the shift including Warehouse Management System, Windows Outlook, & Excel.
- Provide carriers with appointments as required.
- Assisting warehouse staff in obtaining information from systems or customers.
- Closely work with the warehouse team regarding inventory management, etc.
- Communicate via email and phone to inter company customers and external customers.
- Handle & prepare transport BOL's.
- Direct truck drivers to doors and assign documentation when completed.
- Review requirements daily, track the transportation and distribution of inventory.
- File and document emails for backup for carrier notifications for demerge.
- Provide and update spreadsheets for detention requests.
- Identify priority offloads to meet customer orders to avoid detention costs.
- Attend to duties and projects as assigned by Manager or his/her delegate.
- Standard administrative duties including filing.
- Follow safety guidelines ensuring the safety of the operations.
Academic/Education Requirements:
- High School Diploma or equivalent.
- Additional Certification and/or Designation is an asset.
Required Skills/Experience:
- 1-2 years in a warehouse and distribution center.
- Excellent oral and written communication skills.
- Proficient with Microsoft Office applications.
- Accurate and detail oriented.
- Ability to prioritize workload and works well under pressure.
- Ability to manage multiple tasks and meet deadlines.
- Excellent organizational and interpersonal skills.
- Ability to maintain confidentiality.
