We are a new, community-focused walk‑in and family practice clinic in Scarborough, Ontario, providing timely and comprehensive primary care in a welcoming environment. We are building a small, collaborative team that values professionalism, efficiency, and compassionate patient care.
Position Overview
This is a dual-role position combining front-desk medical receptionist duties with clinical support responsibilities. You will manage patient flow from first contact to visit completion while also performing routine nursing/clinical tasks such as vitals, blood draws, injections, and exam room preparation under physician direction and within your scope of practice.
Key Responsibilities
Reception and Administrative Duties
- Greet and register patients in a professional, courteous manner (in‑person and by phone).
- Answer incoming calls, respond to patient inquiries, and route calls appropriately.
- Schedule, confirm, and reschedule appointments for walk‑in and family practice patients using the clinic EMR.
- Check patients in and out, verify OHIP and other insurance information, and ensure accurate demographics and contact information.
- Manage waiting room flow, communicate expected wait times, and coordinate with physicians to optimize scheduling.
- Process referrals, requisitions, and specialist appointments as directed by physicians.
- Manage incoming and outgoing faxes, emails, and correspondence (lab results, imaging, consult notes).
- Scan, upload, and file documents in the EMR, ensuring accurate and timely charting.
- Assist with basic billing-related administrative tasks (e.g., OHIP and third‑party billing support) as directed.
- Maintain a clean, organized reception and waiting area and ensure patient privacy and confidentiality in line with PHIPA requirements.
Clinical and Nursing Support Duties
- Prepare exam rooms between patients, including changing exam table paper, cleaning basic surfaces, and ensuring rooms are stocked.
- Take and document patient vitals (e.g., height, weight, temperature, blood pressure, pulse, oxygen saturation) in the EMR.
- Perform phlebotomy/blood draws, specimen labeling, and handling in accordance with clinic protocols and Ontario standards.
- Administer vaccines and other injections (e.g., IM, SC) as ordered by the physician and within your scope of practice.
- Assist with point‑of‑care testing (e.g., glucose, urine dip, pregnancy tests), ECGs, and basic procedures as directed by the physician.
- Accurately document clinical notes, measurements, administered injections, and procedures in the EMR, following physician instructions and clinic policies.
- Assist physicians during examinations and minor procedures, including patient preparation and positioning.
- Monitor and maintain stock of clinical supplies (needles, vacutainers, swabs, gloves, gowns, table paper, disinfectant, vaccines, etc.) and assist with ordering.
- Follow infection prevention and control procedures, including hand hygiene, surface disinfection, and sharps and biohazard disposal.
- Assist with basic instrument cleaning and sterilization workflows according to clinic policies.
- Support implementation of clinic protocols for chronic disease management, vaccinations, and preventive care as directed.
Qualifications and Requirements
Registered Practical Nurse (RPN) in Ontario
- Current registration in good standing with the College of Nurses of Ontario (CNO).
- Experience in a primary care, walk‑in, or outpatient clinic setting is an asset.
OR
Medical Office / Clinical Assistant with Phlebotomy Competency
- Completion of a recognized Medical Office Assistant, Medical Laboratory Assistant, or related healthcare program that includes phlebotomy training.
- Demonstrated competency and confidence in venipuncture and specimen handling.
Additional Requirements
- Minimum 1–2 years of experience in a medical clinic, family practice, walk‑in clinic, or similar healthcare setting preferred.
- Proficiency with electronic medical records (experience with OSCAR/Accuro/PS Suite or similar EMR is an asset).
- Strong verbal and written communication skills in English; additional languages common in Scarborough are an asset.
- Excellent customer service skills and professional telephone etiquette.
- Strong attention to detail, accuracy in documentation, and ability to multi‑task in a fast‑paced environment.
- Demonstrated ability to maintain patient confidentiality and comply with PHIPA and clinic privacy policies.
- Reliable, punctual, and able to work independently and as part of a small, collaborative team.
Schedule
- Full‑time, approximately 40–45 hours per week.
- Must be able to work Monday to Saturday (final schedule to be confirmed based on clinic hours).
Compensation and Benefits
Hourly wage: 22.00 – 27.00 CAD per hour, based on qualifications and experience.
