CAO Executive Assistant
Position Summary
Lac La Biche County is seeking an Executive Assistant to provide high-level administrative, strategic, and confidential support to the CAO. This position plays a critical role in ensuring the efficient operation of the CAO’s office, supporting Council relations, and coordinating key corporate initiatives aligned with municipal priorities.
The role requires sound judgment, political acuity, and the ability to manage sensitive information with the highest level of professionalism.
1. Executive & Administrative Support
- Manage the CAO’s calendar, priorities, and workflow to ensure alignment with corporate objectives
- Coordinate meetings, agendas, and briefing materials for internal and external engagements
- Prepare correspondence, reports, and presentations on behalf of the CAO
- Track action items and follow-ups arising from meetings and Council direction
2. Council & Governance Support
- Assist in coordinating Council briefing notes and reports
- Ensure timely communication between the CAO, Mayor, and Council
- Maintain confidentiality on governance matters and strategic discussions
- Support preparation for Council meetings, strategic sessions, and public engagements
3. Strategic Coordination
- Support implementation tracking of Council’s strategic priorities (e.g., economic development, social wellness, tourism, industry)
- Coordinate cross-departmental initiatives led by the CAO’s office
- Monitor key performance indicators, deadlines, and deliverables
4. Communications & Stakeholder Relations
- Act as a liaison between the CAO’s office and internal departments, external partners, and the public
- Draft and review communications, including memos, speeches, and briefing notes
- Coordinate meetings with provincial/federal officials, industry, and community stakeholders
5. Records & Confidential Information Management
- Maintain organized and secure records, files, and correspondence
- Handle highly sensitive and confidential information with discretion
- Ensure compliance with municipal policies and legislative requirements
Qualifications & Competencies
Diploma or degree in Business Administration, Public Administration, or related field- Minimum 5+ years of senior administrative or executive support experience
- Experience in a municipal or public-sector environment is preferred

Location: Lac La Biche County, Alberta (on-site)
Status: Permanent Full Time
Days & Hours of Work: Based on a 35-hour workweek, typically Monday-Friday 8:30 a.m. to 4:30 p.m (with occasional overtime).
Salary: $76,167.00 to $97,734.00
