Overview

We are seeking an energetic and detail-oriented Administrative Assistant/Receptionist to join our dynamic team. In this vital role, you will be the first point of contact for visitors and callers, ensuring a welcoming and professional environment. Your organizational skills and proficiency with office technology will support daily operations, streamline administrative processes, and enhance overall office efficiency. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced setting.

Duties

Greet visitors warmly, manage front desk operations, and direct inquiries with excellent phone etiquette.
Answer and route multi-line phone systems promptly and professionally.
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office software.
Maintain organized filing systems, both digital and paper-based, ensuring easy retrieval of documents.
Manage appointment scheduling, calendar coordination, and coordinate meetings or events as needed.
Support bookkeeping activities utilizing QuickBooks or similar accounting software, including invoicing and expense tracking.
Assist with clerical tasks such as proofreading correspondence, preparing reports, and managing incoming/outgoing mail.

Qualifications

Proven office experience with strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Excellent computer skills including data entry, filing, and document management.
Prior experience in customer service or front desk roles with professional phone etiquette.
Familiarity with multi-line phone systems and basic bookkeeping (QuickBooks preferred).
Strong typing speed with accuracy; ability to proofread documents effectively.
Experience in medical or dental office settings is a plus, especially dental receptionist or medical office experience.
Demonstrated ability to handle multiple tasks efficiently while maintaining a positive attitude.
