Integrated Staffing is currently recruiting for a Site Administrator for a full-time opportunity in Saint John, NB. Reporting to the Site Lead Administrator, the Site Administrator will play a key role in supporting daily site operations by coordinating payroll, purchasing, billing, reporting, and administrative functions while providing exceptional customer service to both internal teams and clients.

Key Responsibilities

Submit requisitions for orders and enter goods receipts into the purchasing system.
Log purchases and submit documentation for customer approvals.
Communicate purchasing information with suppliers.
Review, verify, and file employee timesheets, ensuring all required information is complete and accurate.
Complete payroll time entry and process new hire and termination documentation.
Reconcile swipe card data against employee timesheets and make necessary adjustments.
Process, balance, and maintain weekly payroll records.
Verify Purchase Orders and Work Orders.
Balance daily labour hours with the customer.
Prepare reports for supervisors and foremen as required.
Update scaffold logs, productivity logs, and equipment movement records.
Maintain weekly labour tracking spreadsheets for mobilizations.
Compile employee time, production, and payroll information from timesheets and other records.
Review payroll records to identify and resolve discrepancies.
Verify attendance, hours worked, and pay adjustments.
Process payroll adjustments related to previous errors or retroactive increases.
Respond to customer requests and inquiries in a professional manner.
Provide administrative support to site supervisors.
Create and maintain accurate electronic and paper filing systems.
Perform order entry and other administrative duties as assigned.
Attend regular customer update meetings.

Qualifications

1–3 years of experience in purchasing, billing, payroll, timekeeping, or a related administrative role is considered an asset.
Grade 12 diploma required; post-secondary education in Business Administration or a related field is considered an asset.
Experience with Profield software is considered an asset.
Health & Safety training is considered an asset.
Previous experience in the construction industry is considered an asset.
Intermediate proficiency with Microsoft Office, particularly Excel and Word.
Excellent written and verbal communication skills.
Strong organizational and time management skills with the ability to manage multiple competing priorities.
High attention to detail and accuracy.
Ability to interpret written, verbal, diagram, and schedule-based instructions.
Self-motivated with a proactive, team-oriented attitude.
Strong problem-solving and decision-making skills.
Ability to work independently while contributing to a positive team environment.
Adaptable and able to thrive in a fast-paced, changing work environment.
