Role Responsibilities:
- Client & Clinician Support: You will be the first point of contact responsible for providing professional, timely, and consistent client care through phone, email, fax, and in-person communication. Examples of duties include answering client inquiries, scheduling/rescheduling appointments, assisting with form completion, liaising with and supporting clinic staff, faxing documents, assisting with financial transactions, uploading client files, completing quality assurance checks, and liaising with external agents (i.e., family physicians, VAC).
- Office Maintenance: You will maintain a tidy and professional reception area and assist with office tasks such as inventory and stocking of supplies, key assignments, basic office upkeep, mail distribution, and other duties as required.
- Clinic Reputation: Your professionalism, organization, efficiency, and dedication contribute to the positive reputation of our clinic.
Skills and Abilities:
We are looking for an organized professional who possesses exceptional communication skills and meticulous attention to detail. They will have a positive attitude and a readiness to learn and grow in their role. They are ready and willing to jump in where needed to provide support, and are friendly, understanding, and compassionate. Their written and verbal communication skills will be very strong, allowing them to complete tasks efficiently, consistently, and on-time. They will be forward-thinking, and take initiative without close direction or monitoring. The ideal candidate will meet the following qualifications:
- Education: Currently enrolled in or completed a four-year BA program. Previous experience in customer service or a relevant field is required. Experience in psychology or mental health programs is an asset.
- Communication Skills: Strong written and verbal communication skills are essential for coordinating with clinicians, staff, referring agents, and clients.
- Interpersonal Skills: You will be corresponding with clients who are in various states of distress. Our ideal candidate is someone able to respond to our clients with compassion, patience, and kindness, and maintain a friendly and calm demeanor in all interactions.
- Technology Skills: We are looking for candidates who are proficient with navigating and troubleshooting technology, as we are an exclusively paperless office. We will provide training on our systems (Flock, Jane App, and Google Drive).
- Maintaining Processes: Commitment to maintaining established administrative processes and following best practices are vital for ensuring consistent quality client care and clinic operations.
Position Particulars:
- Location: This role is in-person in our welcoming and modern office, centrally located in Kingston, Ontario.
- Shift: This part-time position requires 20 hours per week across 5 shifts. Additional hours may be available. Morning Shifts are 8:30am - 12:30pm. Afternoon shifts are 1:00pm - 5:00pm. Monday and Friday mornings are mandatory.
- Term: This is a part-time employment position. Ideal start date: September 2026.
- Rate: Our company follows a predetermined pay structure that ensures fairness and consistency across all roles. The hourly rate for this position is $20.

A client has sent an initial email on Wednesday at 9:30am to cancel their in-person therapy session scheduled for the same day at 2:00pm. They mentioned that they are feeling unwell and don’t want to make anyone in the office sick. The clinic replies, outlining the 24 hour cancellation policy and advising the client that a cancellation fee will be processed for the late cancellation today. The clinic also offers the option to change the session to be virtual, to avoid the client needing to cancel. The client replies with “Am I supposed to come to my appointment while sick? I just began feeling ill today, and I could not anticipate this. I don’t understand this process. I can’t afford paying the fee and would rather reschedule to when I am feeling better”.
