Position Summary
Do you enjoy being the person clients are happy answered the phone? Kings Energy Group is looking for a Client Experience Coordinator to be the first voice and the first face of our Lloydminster office. This is the seat where client relationships are cultivated: you answer the calls, welcome people at the counter, resolve client inquiries, administer fuel cards and take payments, keep our client records accurate, and follow up to confirm people got what they needed.
Alongside that, you run the day-to-day administration that keeps the office operating without friction: mail and deliveries, supplies, meeting logistics, and activities coordination. This role also serves as the reliable backup for the operations and accounting teams when someone is away. If you take pride in looking after clients and keeping the front desk running smoothly, you will fit right in.
Duties and Responsibilities
Client Service & Experience
- Be the first voice and the first face of Kings: answer incoming calls promptly and professionally, greet clients at the front counter, and make sure every inquiry reaches the right person
- Resolve client inquiries and concerns, and process walk-in client payments and receipts for fuel and product sales
- Maintain organized and up-to-date client information in HubSpot (CRM), and support the reporting needs of the operations and sales teams
- Follow up with clients, bring their feedback back to the team, and escalate unresolved issues so nothing gets dropped
Fuel Card Administration
- Handle client fuel card requests and day-to-day card maintenance
- Create fuel cards for new accounts
- Assist clients with card issues at the islands
- Support regular fuel card audits
Front Desk & Office Administration
- Keep the front desk covered and welcoming: greet employees, drivers, and vendors, and communicate visitor safety requirements on arrival
- Provide day-to-day administrative support to the Office Lead and Facilities Lead, including data entry, filing, records management, and document preparation
- Keep the office running and stocked: supplies, mail and deliveries, meeting coordination, and office and IT equipment tracking
- Support employee onboarding and offboarding logistics, from desk setup and day-one essentials to access requests
Backup Departmental Support
- Assist the accounting and operations teams with ad hoc administrative requests
- Cover dispatch during short breaks by taking incoming fuel orders
- Provide on-call support for the office (weekends, on a rotational basis)
Company Culture & Employee Activities
- Coordinate employee activities such as team lunches, seasonal celebrations, and team-building events
- Track and support the celebration of employee milestones, including birthdays and work anniversaries

- A strong communicator, clear and professional on the phone and in writing, with a tone that stays steady when a client is frustrated
- Accurate with information, so CRM records, notes, and contact details are right the first time
- Organized and reliable, with strong follow-through on anything you take on
- Calm at a busy front desk when phones, walk-ins, and deliveries land all at once
Required Qualifications
- Strong written and verbal English language communication skills
- Working knowledge of Microsoft Office (Excel, Word) and Teams
- High attention to detail for accurate data entry and records management
- Legally entitled to work in Canada
Preferred Qualifications & Experience
- Client service, reception, or administrative: 1 year
- CRM or database administration: 1 year
- Experience in fuel and energy distribution industry, logistics, transport, or similar industrial services environment
- Experience handling cash, payments, invoicing, or point-of-sale systems
- A combination of education and experience may be considered

Pay: $46,000.00-$50,000.00 per year
